About The Position

This role is for an experienced Front Desk Coordinator and Back-up Somatologist urgently needed for a Retreat Spa in Hyde Park. The individual will serve as the first point of contact in a healthcare facility, performing a wide range of administrative and clerical tasks to ensure the smooth operation of the practice. The role also involves supporting treatment delivery and guest experience within a luxury wellness and medical-integrated environment.

Requirements

  • Beauty / Somatologist Diploma
  • Qualified in Aromatherapy & Body Massage Therapy.
  • Foundational understanding of Anatomy and Wellness principles.
  • Strong eagerness to grow in a medical-integrated spa environment.
  • Professional, polished, well-presented and client-focused.

Nice To Haves

  • 2 - 6 years of working experience in a busy Spa/ Medical Practice/ Clinic is ADVANTAGEOUS
  • Systems EXPERIENCE – Chi-Desk.

Responsibilities

  • Perform Facial, Body and Aromatherapy treatments as trained.
  • Assist with Medical Massage and Wellness Therapies under guidance.
  • Support Senior Therapists and Doctors within the wellness centre.
  • Maintain hygiene, setup and room standards in compliance with medical OHS.
  • Recommend basic aftercare, home care, and retail products.
  • Assist during spa events, launches and wellness days.
  • Ensure accurate treatment notes and client care follow-through.
  • Welcome and greet patients and visitors professionally and warmly.
  • Answer phones, transfer calls, and respond to inquiries in person, by phone, and through written communications.
  • Help patients with administrative and scheduling questions.
  • Assist patients with the intake process and manage patient check-in and check-out.
  • Communicate with insurance companies regarding billing and claims.
  • Handle patient payments and provide receipts.
  • Schedule appointments, coordinate follow-ups, and manage cancellations.
  • Maintain accurate and up-to-date patient records and files.
  • Handle and distribute incoming mail, correspondence, and deliveries.
  • Process prescriptions and other medical documents.
  • Maintain office inventory by ordering and stocking supplies.
  • Notify healthcare providers of patient arrivals.
  • Facilitate communication between patients, providers, and other staff.
  • Relay messages and information to doctors, nurses, and other staff.
