Position Overview: Ameresco has a new opportunity for a Front Desk Administrator to join our team! In this role you will provide coordination and support to our headquarters in Framingham, Massachusetts.

Requirements

  • Minimum of 1 year of experience in administrative or office support roles.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with office systems and tools (e.g., Brivo, Microsoft Office).

Responsibilities

  • Serve as the primary front desk contact, welcoming visitors and managing personnel flow-representing the "face of Ameresco."
  • Virtual support to our Boston Office location.
  • Provide administrative and coordination support to executives as necessary.
  • Administer employee access card procedures, including activation, deactivation, and tracking via Brivo and internal systems.
  • Coordinate with property management and building engineers to submit work orders and resolve maintenance issues.
  • Proactive monitoring and management of any office related.
  • Handle incoming calls, voicemails, and emails, ensuring prompt and professional customer service across all U.S. offices.
  • Provide administrative support to HR for onboarding, offboarding, employee events, and recognition programs.
  • Manage office logistics including meeting setup, catering coordination, and conference room scheduling and readiness.
  • Oversee mailroom operations including USPS, FedEx, UPS, DHL, and freight-sorting, scanning, distributing, and preparing outbound shipments.
  • Maintain and order office and kitchen supplies, liaising with WB Mason and implementing cost-saving measures.
  • Assist Accounts Payable by sorting, scanning, and emailing invoices, and preparing corrected mailings as needed.
  • Troubleshoot and resolve issues related to office equipment, supplies, and facilities.
  • Perform other duties as needed.
