About The Position

Club Athletic is seeking a Freelance Event Producer to elevate Club Night, Club Ritual, and its larger capsule events, including the Annual Black Tie Gala and Club Games. The producer will shape events from the initial idea through final follow-up, creating experiences that reflect the Club Athletic brand and measurably improve brand value and member enjoyment.

The role includes designing the full member experience, selecting and negotiating with event partners and vendors, managing budgets and contracts, and overseeing operational details such as timelines, run-of-show documents, and contingency plans. The producer will also help maintain event consistency across Club Athletic locations by liaising with local managers in Chicago and Hoboken as needed.

Requirements

• Be based in New York.
• Have a strong New York network relevant to producing events.
• Be organized, calm under pressure, and able to deliver on time and on budget.

Responsibilities

• Produce monthly Club Night and Club Ritual events and lead capsule events.
• Design the full member experience, including invitations, arrivals, event flow, unexpected moments, and follow-up.
• Ensure every event is consistent with the Club Athletic brand.
• Use a New York network to identify and engage suitable event partners.
• Build and manage event budgets, source and negotiate with vendors, manage contracts, and report actuals against plan.
• Manage event timelines, budgets, run-of-show documents, contracts, and contingency plans.
• Oversee details such as music levels, lighting, signage, pacing, and how the room appears on camera.
• Provide timely updates to the Club.
• Liaise with local managers in Chicago and Hoboken as needed to maintain consistency across events.
