About The Position

Club Athletic is seeking a Freelance Event Producer to elevate its monthly Club Night and Club Ritual events and lead larger capsule events, including the Annual Black Tie Gala and Club Games. The producer will shape each event from initial concept through follow-up, creating experiences that feel intentional, reflect the Club Athletic brand, and increase brand value and member enjoyment.

The role involves designing the full member experience—from invitations and arrival through event flow, memorable moments, and follow-up—and coordinating partners, budgets, vendors, contracts, schedules, and on-site details. The producer will help maintain consistency across Club Athletic locations by liaising with local managers in Chicago and Hoboken as needed.

Requirements

• Be based in New York.
• Have a portfolio with a clear point of view and a preference for restraint over trends.
• Have knowledge of and connections with the people and partners who make New York events run.
• Be organized, calm under pressure, and able to deliver on time and on budget.
• Have a background in hospitality, members’ clubs, wellness, or brand experiences.

Responsibilities

• Produce monthly Club Night and Club Ritual events and lead capsule events.
• Design the complete member experience, including invitations, arrival, event flow, unexpected moments, and follow-up.
• Ensure every event is consistent with the Club Athletic brand.
• Use a New York network to identify and engage appropriate event partners.
• Build and manage event budgets, source and negotiate with vendors, manage contracts, and report actual spending against plan.
• Manage event timelines, budgets, run-of-show documents, contracts, and contingency plans.
• Oversee event details such as music levels, lighting, signage, pacing, and how the room appears on camera.
• Proactively keep the team updated on event planning and execution.
• Liaise with local managers in Chicago and Hoboken as needed to maintain consistency across the Club.
