About The Position

Solidroad is seeking a Founder's Associate to serve as the operational backbone for their San Francisco and Dublin offices. This role is crucial for enabling the Co-Founders to focus on company building by ensuring smooth daily operations, a positive employee experience, and efficient support for new hires and existing staff. The position blends executive support, office management, and people operations, touching nearly every aspect of the company's functioning and employee experience. The Associate will report to the Head of Operations and will manage a variety of tasks, including Co-Founder calendar management, cross-timezone meeting coordination, candidate interview scheduling, immigration paperwork, and swag box logistics. The role requires managing multiple tasks concurrently in a dynamic environment.

Requirements

  • Experience in an Executive Assistant, Office Manager, Recruitment Coordinator, or People Operations role, ideally in a tech startup environment.
  • Exceptionally high organizational standards and strong follow-through.
  • Proactive and self-directed; ability to identify needs before being asked and act on them.
  • Discreet and trustworthy with sensitive information.
  • Clear and professional communication skills.
  • Genuine warmth and understanding of the importance of office atmosphere.

Responsibilities

  • Own and manage Co-Founder calendars, including scheduling meetings, calls, interviews, and syncs with accuracy and prioritization.
  • Monitor and triage Co-Founder inboxes, draft responses, manage travel logistics, and proactively anticipate needs.
  • Manage relationships with external hiring agencies.
  • Coordinate the recruiting pipeline via Slack and Ashby.
  • Schedule interviews across time zones and maintain pipeline hygiene.
  • Serve as the connective tissue between senior leaders, hiring managers, and candidates.
  • Own daily office operations for SF and Dublin, including food, drinks, snacks, supplies, lunch catering, and vendor relationships.
  • Support the Head of Events & Operations on office construction and reorganization projects.
  • Coordinate with facilities vendors and communicate changes clearly to both teams.
  • Ensure new hires have a fully set-up desk, working equipment, a swag box, and a clear onboarding schedule.
  • Coordinate IT setup and laptop ordering for new hires.
  • Manage swag inventory.
  • Work with the company's immigration lawyer to track visa applications and renewals.
  • Maintain timelines, documentation, and reminders for immigration processes.
  • Serve as the internal point of contact for employees navigating immigration processes.
  • Help plan and execute team events, offsites, and celebrations.
  • Coordinate logistics and manage vendor bookings for events.
  • Ensure consistency in events and office experience across the San Francisco and Dublin offices.
