About The Position

MercyOne is seeking a Foundation Administrative Assistant to support the Executive Director and staff in the promotion and execution of the management of the MercyOne Dubuque Foundation and the MercyOne Dyersville Foundation. This role performs varied administrative support, office management, and project management for a successful Foundation office. The assistant will help with annual campaigns, special events, data entry, direct mailings, and fundraising events. This position provides administrative support to advance opportunities for the development, establishment, and maintenance of comprehensive fund development programs in Dubuque, Dyersville, and affiliated sites and programs of MercyOne. A key responsibility is functioning as the database manager for Blackbaud CRM and other software for both Dubuque and Dyersville Foundations, ensuring donor data integrity, consistency, and accuracy.

Requirements

  • High school diploma or GED.
  • Degree from higher level education degree that requires a high school diploma or GED as a pre-requisite is also permitted.
  • Demonstrated proficiency in using commonly used office equipment.
  • Demonstrated proficiency in computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint, GroupWise), HealthStream, Intranet, and use of reporting tools.
  • Valid driver's license and ability to meet hospital-driving requirements.
  • Child and Dependent Adult Abuse Mandatory Reporter Training within 6 months of hire.

Nice To Haves

  • Associate’s degree or 2 years of college preferred.
  • Experience may be substituted for education.
  • Experience and/or education in the health care field are highly desirable, specifically in fund development.
  • Bookkeeping or knowledge of accounting principles desirable.
  • Knowledge of business terminology.
  • Experience with USPS bulk mailing policies and procedures helpful.
  • Proficiency in donor software, specifically the Blackbaud CRM Database is desired.
  • Experience in using Blackbaud software products desirable.
  • Willingness to learn and maintain competency.

Responsibilities

  • Support the Executive Director and staff in the promotion and execution of the management of the MercyOne Dubuque Foundation and the MercyOne Dyersville Foundation.
  • Perform varied administrative support, office management, and project management for a successful Foundation office.
  • Assist with annual campaigns, special events, data entry, direct mailings, and fundraising events.
  • Provide administrative support to advance opportunities for the development, establishment, and maintenance of comprehensive fund development programs.
  • Function as the database manager for Blackbaud CRM and other software for both Dubuque and Dyersville Foundations, ensuring donor data integrity, consistency, and accuracy.
  • Provide coordination and leadership for special events, annual giving, all fundraising events, direct mail campaigns, and other projects as needed.
  • Function as Gala Systems Manager, overseeing set-up and management of guest registration, check-out, and item pick-up.
  • Act as primary contact with Greater Giving (gala software company) and manage computers, printers, and staff for a successful registration and check-out process.
  • Organize and track procured items and create all necessary forms needed for silent and live auction packages.
  • Assemble and enter all packages in both Greater Giving and Blackbaud CRM.
  • Train volunteers to assist with registration and check-out using Greater Giving.
  • Oversee entire check-in and check-out processes to ensure complete information for records and correct information for guests' receipts.
  • Manage all gala processes having to do with bidding using Greater Giving/Blackbaud CRM.
  • Oversee processing of online credit card payment.
  • Create and review gala analytics reports.
  • Coordinate Mercy School of Nursing Alumni database and records, including maintaining and updating the member list and coordinating mailing lists for events.
  • Process registration for the alumni banquet, donations, and dinner reservations.
  • Assure registration fees (dinner, donations, and dues) are properly recorded in Blackbaud/CRM.
  • Create appropriate reports for the Alumni group.
  • Manage mailing, reservations, and associated activities of special events, including the Annual Colleague Campaign, Grateful Patient Monthly Mailings, Service Club Luncheons/Dinners, Donor Celebration, and Distinguished Donor Reception.
  • In cooperation with the Executive Director, participate in developing and implementing a comprehensive plan for identifying and broadening the base of philanthropy for MercyOne.
  • Maintain donor data integrity in Blackbaud CRM and ensure the consistency and accuracy of the database.
  • Manage database, maintenance, standardization, protocols, and education for both Dubuque and Dyersville Foundations.
  • Generate and ensure accuracy of lists for Foundation mailings.
  • Create and manage dashboards on the Foundation's staff Blackbaud CRM home page.
  • Process and record gifts, generate gift acknowledgement letters, and monthly pledge reminder letters for both Dubuque and Dyersville Foundations.
  • Assign campaigns, funds, appeals, and letter codes to each donation for both Dubuque and Dyersville Foundations.
