About The Position

Carmel Country Club is seeking an organized, detail-oriented and personable Food & Beverage Administrative Assistant to support daily dining and event operations. This full-time position blends the back of the house operations and the front of the house to give the Events, and Food & Beverage Departments a polished front. Country Clubs are multi-faceted, robust facilities and this role is essential in pulling multiple areas together. This is a Tuesday through Saturday position, from 9:00 AM - 5:30 PM, with occasional evening or weekend work requested on advanced notice.

Requirements

  • Must be at least 16 years of age.
  • Must have a valid driver's license if required to drive machinery or a golf cart, and may require a Motor Vehicle Report.
  • Must consent to and pass a pre-employment screening.
  • Must comply with E-Verify procedures.
  • Must comply with state and federal regulations for youth employment and have a youth certificate filed.

Responsibilities

  • Fill in for the Front Desk Receptionist during breaks and PTO, and close the Front Desk area daily.
  • Answer phones, direct inquiries, greet and direct guests, address member concerns, and serve as a point-person for Club-related questions.
  • Take member orders, create BEOs (Banquet Event Orders), ensure information is distributed correctly, distribute BEO packets weekly, and attend weekly BEO meetings.
  • Support overall Club Communication.
  • Serve as the point person for holiday To-Go orders for membership.
  • Develop an understanding of allergens and dietary restrictions, communicating with Culinary Leads.
  • Create event signage, menus, and F&B collateral.
  • Gather Club knowledge to answer internal team and external member questions, including website assistance for members.
  • Create visuals for various events, and provide other administrative and operational support.
  • Act as a staff liaison with Women members via a Women's Lounge.
  • Weekly tasks include printing marketing signage and materials, creating an overview of events and Food & Beverage happenings, creating buffet cards and creative menus, and distributing BEO packs.
  • Daily tasks include answering calls, directing guests, stocking a women's area with food & beverage items and supplies, and providing upkeep.
  • Provide administrative maintenance and other miscellaneous tasks as needed.
