About The Position

The Flight Training Scheduler is responsible for managing and optimizing the daily flight training schedule using the Talon-ETA scheduling software. They will ensure maximum utilization of aircraft, instructors, and training resources while maintaining compliance with regulatory requirements and operational standards. Additionally, they will be tasked with tracking student and instructor efficiencies on a weekly basis to improve student progression, instructor performance, and the overall success of Florida Tech Aviation.

Requirements

  • Minimum 2 years of scheduling experience, preferably in aviation, flight training, or a resource-heavy operational environment.
  • Prior experience with Talon-ETA scheduling software is strongly preferred.
  • Familiarity with flight training program and operations, Part 141 regulations, and aviation terminology is strongly preferred.
  • Proficient in Talon-ETA or similar scheduling platforms.
  • Strong computer skills, including Microsoft Office Suite and Google Workspace.
  • Ability to learn new software systems quickly.

Responsibilities

  • Create, publish, and maintain accurate daily/weekly flight schedules in Talon-ETA for students, instructors, and aircraft.
  • Resource Optimization: proactively move and adjust aircraft assignments, lessons, and instructor schedules to maximize utilization rates of aircraft, simulators, and instructors while minimizing downtime and conflicts.
  • Work with aircraft maintenance to ensure aircraft availability aligns with training demands and regulatory requirements. Track and update maintenance status in real time.
  • Prepare utilization reports, forecast resource needs, and recommend improvements to scheduling processes to increase efficiency and reduce costs.
  • Monitor and track instructor completion rates, lesson completion percentages, and overall student training progress within the Talon-ETA system.
  • Generate regular reports on utilization metrics, completion rates, and scheduling efficiency for management review.
  • Track individual student progress against training syllabi and identify delays or bottlenecks and work with instructors and students to adjust schedules accordingly to keep students on track for timely completion.
  • Quickly resolve scheduling conflicts, weather-related disruptions, instructor availability changes, or aircraft maintenance issues by reassigning resources efficiently.
  • Serve as the central point of contact for scheduling matters.
  • Communicate schedule changes clearly and promptly to students, instructors, and maintenance personnel via Talon-ETA notifications, email, or phone as needed.
  • Work alongside Flight Training Supervisors to ensure the efficiencies are being met.
  • Any additional duties and tasks as assigned by an Assistant Chief Instructor or the Chief Instructor.
