About The Position

Help make high-priority travel safe, smooth, and on time. You will schedule corporate aircraft, flight crews, and added travel resources both domestic and some international. You will support senior leaders, Board members, and other approved guests. This role calls for sound judgment, close attention to detail, and a calm approach when plans change.

Requirements

  • At least 5 years of experience in travel, aviation work, flight scheduling, dispatch, or a related field.
  • Knowledge of corporate aviation, including aircraft and crew limits, aircraft use, and airport or heliport options.
  • Ability to review new information, set priorities, and make sound choices in a fast-paced setting.
  • Strong service skills and executive presence.
  • Clear written and verbal communication.
  • Demonstrated accuracy, reliability, discretion, and careful attention to detail.
  • Skill with Windows and Microsoft 365.
  • Ability to learn and use aircraft scheduling systems.
  • Willingness to be on call as needed for critical evening or weekend travel requirements.

Nice To Haves

  • Experience with PFM or comparable aviation scheduling software.
  • Experience negotiating solutions and influencing partners across flight, maintenance, scheduling, and service teams.

Responsibilities

  • Plan aircraft, crew, and added resources for safe and timely travel.
  • Build schedules that meet business needs and Federal Aviation Administration rules.
  • Balance aircraft use, crew readiness, flight time, and rest needs.
  • Work with pilots, the maintenance manager, and hangar staff.
  • Confirm that aircraft and crews are ready and current.
  • Create clear trip plans.
  • Send detailed itineraries and book ground travel and crew lodging.
  • Track flights and schedule changes.
  • Share updates fast and help teams adjust while keeping service strong.
  • Keep the scheduling system accurate.
  • Update crew data, trip logs, rest periods, crew status, airport details, and other key records.
  • Support the Corporate Angel Network by coordinating eligible flight schedules.
  • Complete post-flight records.
  • Track data and prepare monthly reports that support planning and sound decisions.
  • Book travel for hangar staff related to flights, training and maintenance.
  • Flight following aircraft activities which require being on call during some evenings or weekends.
