About The Position

The Flight Records Specialist is responsible for maintaining pilot records, verifying compliance with Federal Aviation Regulations, and developing pilot recordkeeping policies. This role involves data entry for training and new hires, maintaining the pilot database, tracking medical certificates, and creating new hire files. The specialist will also generate reports, conduct audits, and manage daily flight logs and monthly duty tracking. This position requires regular attendance and adherence to company policies.

Requirements

  • High school diploma or general education degree (GED) and one (1) to three (3) years’ related experience and/or training; or equivalent combination of education and experience
  • Familiarity with office equipment such as fax/copier/scanner
  • Highly proficient proofreading, spelling, grammatical and phone skills.
  • Excellent organizational skills detail oriented, ability to prioritize and multi-task and meet daily, monthly and quarterly deadlines.
  • Ability to discreetly handle confidential information.
  • Ability to be a team player with a professional attitude in dealing with both internal and external customers.
  • Ability to work independently with minimal direction.
  • Proficient with Microsoft Suite, including Word, Access, Excel and Outlook

Nice To Haves

  • Aviation Experience is preferred
  • Knowledge of Federal Aviation Regulations (FARs) preferred.

Responsibilities

  • Maintain pilot records
  • Verify compliance with current Federal Aviation Regulations
  • Develop pilot recordkeeping policies in accordance with federal guidelines
  • Data entries for check rides, training and new hire pilots
  • Maintain and modify pilot database to meet training needs
  • Assure timely tracking and notification for medical certificates
  • Create new hire files for pilots and verify accuracy of all paperwork, taking action to correct, when needed
  • Create database reports for Regional Aviation Manager (RAD), Regional Aviation Manager (RAM), and Area Manager
  • Perform monthly audit of 25% of the pilot’s records and purge outdated records
  • Maintain Daily Flight Log/Load Manifest sheets (DFL’s); returning those with errors to the appropriate base for corrections
  • Track and file pilots’ monthly duties
  • Other duties as assigned
