About The Position

The Aviation Records Specialist is responsible for maintaining accurate and compliant pilot and clinician records in accordance with Federal Aviation Regulations and company policies, supporting operational readiness across all bases through standardized, centralized recordkeeping, auditing, and reporting. This position offers the potential for remote work up to 2 days a week after completing training and demonstrating proficiency. Remote work requires maintaining a secure and reliable environment, ensuring data protection and confidentiality, effective virtual communication, and the ability to work independently while meeting deadlines and being available during standard business hours. Initially, there will be a 6-month trial period with 1 remote day per week.

Requirements

  • High school diploma or general education degree (GED) and one (1) to three (3) years’ related experience and/or training; or equivalent combination of education and experience
  • Familiarity with office equipment such as fax/copier/scanner
  • Highly proficient proofreading, spelling, grammatical and phone skills.
  • Excellent organizational skills detail oriented, ability to prioritize and multi-task and meet daily, monthly and quarterly deadlines.
  • Ability to discreetly handle confidential information.
  • Ability to be a team player with a professional attitude in dealing with both internal and external customers.
  • Ability to work independently with minimal direction.
  • Proficient with Microsoft Suite, including Word, Access, Excel and Outlook

Nice To Haves

  • Aviation Experience is preferred
  • Knowledge of Federal Aviation Regulations (FARs) preferred.

Responsibilities

  • Maintain pilot records
  • Verify compliance with current Federal Aviation Regulations
  • Develop pilot recordkeeping policies in accordance with federal guidelines
  • Data entries for check rides, training and new hire pilots
  • Maintain and modify pilot database to meet training needs
  • Assure timely tracking and notification for medical certificates
  • Create new hire files for pilots and verify accuracy of all paperwork, taking action to correct, when needed
  • Create database reports for Regional Aviation Manager (RAD), Regional Aviation Manager (RAM), and Area Manager
  • Perform monthly audit of 25% of the pilot’s records and purge outdated records
  • Maintain Daily Flight Log/Load Manifest sheets (DFL’s); returning those with errors to the appropriate base for corrections
  • Track and file pilots’ monthly duties
  • Other duties as assigned
