About The Position

We are seeking a detail-oriented and proactive Fleet Parts Specialist to join our maintenance team. In this role, you will be responsible for managing the inventory of vehicle and equipment parts, ensuring the availability of essential components for our fleet operations. Your expertise will help optimize inventory levels, control costs, and support the efficient functioning of our maintenance shop.

Requirements

  • Prior experience in an automotive / diesel parts or shop environment required.
  • General office experience
  • Proficient Microsoft Excel, Word and Outlook.
  • High school diploma or equivalent.
  • Effective communication skills.
  • Ability to read, write, count and perform basic math functions.

Responsibilities

  • Maintain adequate inventory levels of vehicle and equipment parts to ensure availability and cost efficiency.
  • Source and select the most cost-effective parts vendors that meet required specifications.
  • Order and receive parts from suppliers/vendors, ensuring accuracy and timeliness of orders and deliveries.
  • Follow company purchase order (PO) request procedures and documentation standards.
  • Regularly follow up on back-ordered parts to expedite delivery and resolve issues.
  • Verify will-call and back-order files weekly, process returns to vendors and manage stock levels accordingly.
  • Log and distribute parts to Diesel Technicians and the Maintenance Shop accurately.
  • Keep detailed records of parts ordered, received, and in stock, ensuring compliance with company policies and procedures.
  • Collaborate with vendors and internal teams to resolve discrepancies and improve inventory processes.
  • Research problems or questions related to parts to identify solutions or necessary actions.
  • Reorder parts following company guidelines and procedures to maintain optimal inventory levels.
  • Stock shelves and bins promptly after receiving parts deliveries to ensure organized storage.
  • Travel to vendors to pick up parts on an emergency basis, ensuring timely procurement.
  • Generate reports accurately and in a timely manner to support inventory management and operational decision-making.
  • Complete all required paperwork with precision and within designated timeframes.
  • Perform general housekeeping duties in and around the parts area, including neatly stacking and storing parts, sweeping, and emptying trash receptacles as needed.
  • Assist with taking inventory counts and maintaining accurate records.
  • Communicate professionally and respectfully with internal customers and co-workers to facilitate smooth operations.
