About The Position

The Fleet Parts Specialist is responsible for managing the company’s fleet-parts inventory and ensuring the parts, supplies, and equipment needed to maintain company vehicles are available when required. This role requires a strong understanding of OEM and aftermarket parts for trucks, light-duty vehicles, and related equipment. This position works closely with the Fleet Department, maintenance technicians, drivers, operations staff, and vendors to identify parts needs, research and source products, place orders, maintain inventory accuracy, and control costs. The Fleet Parts Specialist helps minimize vehicle and equipment downtime by ensuring parts are available for scheduled maintenance and emergency repairs while maintaining an organized and cost-effective inventory.

Requirements

  • High school diploma or equivalent.
  • Previous experience with automotive, truck, fleet, or equipment parts, purchasing, or inventory management.
  • Ability to identify and research vehicle and equipment parts.
  • Strong organizational, recordkeeping, and attention-to-detail skills.
  • Basic computer proficiency and the ability to learn fleet and inventory management software.
  • Effective communication skills when working with technicians, vendors, drivers, and management.
  • Valid driver’s license and reliable transportation.
  • Ability to safely operate a forklift. The company will provide required forklift training and safety testing.

Nice To Haves

  • Experience with heavy-duty trucks, diesel equipment, trailers, or commercial fleet maintenance.
  • Previous parts department or fleet parts experience.
  • Experience with inventory management or purchasing systems.
  • Knowledge of automotive and heavy-duty truck parts.
  • Experience using parts catalogs, VIN lookups, or manufacturer databases.

Responsibilities

  • Identify and source parts needed for fleet vehicles and maintenance.
  • Research parts using manufacturer information, VINs, equipment numbers, parts catalogs, and vendor resources.
  • Obtain pricing and availability from multiple vendors when appropriate.
  • Place parts orders and monitor orders through delivery.
  • Develop and maintain relationships with parts suppliers and vendors.
  • Verify parts received against purchase orders and invoices.
  • Process returns, cores, warranties, and incorrect or damaged parts.
  • Maintain an accurate inventory of fleet parts, supplies, and shop materials.
  • Receive, label, organize, and properly store incoming parts.
  • Maintain appropriate minimum and maximum inventory levels.
  • Conduct periodic physical inventory counts and reconcile discrepancies.
  • Identify slow-moving, obsolete, or excess inventory.
  • Ensure commonly used parts are readily available to reduce fleet downtime.
  • Maintain an organized and clean parts-storage area.
  • Work directly with Fleet Maintenance personnel to identify parts required for repairs and preventive maintenance.
  • Assist technicians in locating parts and identifying appropriate replacements.
  • Help research alternative or aftermarket parts when appropriate.
  • Coordinate parts availability with scheduled maintenance and repair work.
  • Assist with emergency parts sourcing when vehicles or equipment are down.
  • Track parts used for individual vehicles and equipment as required.
  • Help maintain vehicle and equipment maintenance records.
  • Enter purchase orders, receipts, and parts information into the company’s inventory or maintenance system.
  • Maintain accurate records of purchases, costs, vendors, warranties, and returns.
  • Monitor parts spending and identify opportunities for cost savings.
  • Compare vendor pricing and negotiate pricing when appropriate.
  • Ensure invoices and purchase orders are properly matched and coded.
  • Provide reports regarding inventory levels, parts usage, and purchasing activity.
  • Follow all company safety policies and procedures.
  • Maintain a clean and organized parts and storage area.
  • Properly handle and store parts, fluids, chemicals, and other shop-related materials.
  • Follow applicable DOT, OSHA, and company requirements as they relate to the position.
  • Perform other duties as assigned by the supervisor.
