About The Position

The Fleet Coordinator is responsible for planning and assigning trucks with deliveries to customers and their respective locations in the most efficient manner. In addition to the supervising and scheduling of drivers and equipment, a crucial role as part of this process is inventory management and volume forecasting for AFD customers and cardlock locations. The Fleet Coordinator will provide the best support to our drivers to ensure customer service excellence. With this role comes on-call hours and a shift schedule.

Requirements

  • High School Diploma.
  • 3+ years experience in a dispatch-related position.
  • Advanced knowledge of MS Word, Excel, PowerPoint, and e-mail.
  • Professional written and verbal communication skills.

Nice To Haves

  • Experience working in the fuel, transportation, or oil and gas industry is considered an asset.

Responsibilities

  • Scheduling fuel deliveries/purchases (bulk, home heat, cardlock, wholesale).
  • Building trips, ensuring any credit releases are completed before delivery.
  • Trip closure: the next day from delivery.
  • Ensuring quality and completion of all paperwork from drivers.
  • Driver scheduling: ensure adequate coverage.
  • Building and maintaining a master load pattern list for all branch units.
  • Ensuring drivers are following AFD procedures for safe and efficient operation.
  • Ensuring completion of fuel reconciliation spreadsheet, submitting as per schedule to Logistics Manager / Area Manager.
  • Managing fuel dyed inventory.
  • Work with the Logistics Manager to ensure all vehicle registration, insurance, permits, and inspections are valid.
  • Management of USDOT regulations (FAST Cards, Plates, Transponders).
  • Keeping all branch unit files up to date.
  • Managing unit downtime to allow for in-house/outside vendor repairs.
  • Collection of DVIR from drivers and relaying to maintenance.
  • Scheduling repairs with the Shop and external vendors.
  • Reporting tank dips daily for all fuel inventory locations as necessary.
  • Reporting all closing dips at month's end.
  • Completion of the month-end fuel inventory report.
  • Management of fuel inventory minimums and maximums.
  • Any inventory variances must be reported daily to the Area Manager.
  • Assist in answering phone calls and customer service duties.
  • Assist in fuel forecasting with the direction of the Area Manager.
  • Inventory of the Branch tank farm.
  • Operation of equipment as required.
