About The Position

The Fleet Condition Administrator provides administrative support for high-volume vehicle return processing by managing condition reports, documentation, and dispute tracking. This role helps ensure returned and rejected vehicles are processed accurately and on time.

Requirements

High School Diploma or equivalent required, bachelor's degree preferred
Detail oriented; must be very accurate and able to pay attention to detail
Ability to collaborate with internal and external stakeholders across multiple functions and locations
Flexible and adaptable; ability to work effectively in ambiguous situations
Excellent verbal and written communication skills
Excellent organization, time management, and prioritization skills.

Responsibilities

Process high-volume vehicle condition reports, return documentation, damage assessments, and related records, ensuring accuracy, completeness, and compliance with company standards
Support dispute resolution by reviewing documentation, gathering supporting evidence, tracking open cases, and coordinating with adjusters, vendors, and internal stakeholders to meet service-level timelines
Maintain accurate records across multiple systems, identify and escalate discrepancies, and perform data entry, reporting, reconciliation, and quality control activities to support efficient claims and vehicle return processing
Provide responsive administrative support to internal and external partners, assist with process improvement initiatives, and contribute to special projects and other departmental assignments as needed
