About The Position

This position is responsible for various administrative duties within the fleet department. The role requires the ability to manage multiple tasks, maintain accurate records, and communicate effectively with staff and management. The Fleet Assistant will handle data entry, scheduling, invoice processing, and general office administration to support the daily operations of the shop.

Requirements

  • High school degree or GED equivalent
  • 1 year of job related experience in general business
  • Proficient in Microsoft Word, Excel, Outlook, Ten-key
  • Strong verbal and written communication skills.
  • High organizational skills and ability to multi-task.
  • Bilingual English/ Spanish

Responsibilities

  • Enters/Updates Shop Employee's Information
  • Enters/Reviews Daily Mechanics Time cards.
  • Enters/Reviews Maintenance and Repair Work Orders, including any charges related to these work orders.
  • Schedules Equipment for PM service.
  • Enter Oil Samples
  • Review and process Fleet Invoices
  • Performs Shop Administration duties such as Updating Shop Calendar, Scanning, Filing, Copying Documentation, answering shop telephone/radio, typing, etc.
  • Open PO for Services
  • Responds to inquiries from a variety of individuals (e.g. staff, managers, etc.) in a pleasant demeanor and attitude.
