About The Position

Reporting to the Corporate Fleet Manager, Valard is seeking a proactive, organized professional to support the Corporate Fleet team, working closely with senior leadership and interacting with Support Services in the company as well as with regional operations, and external partners. The Corporate Fleet team manages and ensures efficient operation of the Valard Group of Companies fleet across Canada and in the US. This is a dynamic, hands-on position requires someone who is comfortable wearing multiple hats, managing competing priorities, and following tasks through to completion. The Corporate Fleet Administrator will provide administrative support across fleet operations, compliance, documentation, and systems management at a corporate level.

Requirements

  • Superior ability to use the MSOffice applications, advance Excel skills is essential
  • Excellent computer and organizational skills
  • Ability to maintain a high level of accuracy and attention to detail
  • Strong interpersonal skills, with the ability to communicate effectively with tact and discretion, both orally and in writing
  • Must be able to work with minimal supervision and as a team player.
  • Ability to work independently while prioritizing tasks according to deadlines and level of importance
  • Applicants must have legal authorization to work in Canada with no restrictions.

Responsibilities

  • Provide administrative and coordination support to Corporate Fleet leadership
  • Compile and distribute recurring fleet performance and status reports
  • Manage permit applications, renewals, and tracking including coordination of policy documentation, certificates, and claims administration at a Corporate level
  • Process equipment disposals, transfers, and related documents
  • Creating and maintain assets in JDE
  • Review, code, and process purchase orders and invoices related to fleet including vendor set up
  • Generate and close work orders in JDE and file related documents
  • Issue and manage fuel cards when required
  • Assist with reconciliations, cost summaries, and variance reporting
  • Document control tracking including updating files on various platforms
  • Make travel arrangements for the Corporate Fleet team when needed
  • Ensure alignment of day-to-day administrative tasks with overall fleet strategy and Corporate process
  • Address issues proactively and see them through to resolution
  • Track action items and ensure commitments are followed through across teams
