About The Position

The Fitness Manager works within the Lifestyle Team and reports to the Lifestyle Director, who reports to the General Manager. The Fitness & Wellness operation includes group fitness, personal training, massage, esthetic services, nutrition and wellness programming. This is a management-focused position responsible for the day-to-day operation of the program, including programming, independent contractor oversight, resident experience, administrative systems, reporting, facility readiness, safety and service quality. The successful candidate will be highly visible and engaged with residents while maintaining the administrative discipline necessary to effectively manage the operation. The Fitness Manager provides exemplary service consistent with the values and mission of Castle Group.

Requirements

  • High school diploma or equivalent required
  • 3–5+ years of progressive fitness, wellness, recreation or health-club operations experience with demonstrated management responsibility.
  • Experience managing instructors, independent contractors or wellness service providers.
  • CPR/AED certification required or must be obtained within 30 days of hire.
  • Experience with fitness-management technology required
  • Strong operational, organizational and administrative management skills.
  • Excellent written, verbal and interpersonal communication skills.
  • Strong customer service, conflict-resolution and problem-solving abilities.
  • Ability to establish positive resident relationships while maintaining appropriate professional boundaries.
  • Strong analytical skills with the ability to interpret participation, utilization and operational data.
  • Ability to manage multiple priorities and meet deadlines in a highly interactive environment.
  • Strong technology skills, including Microsoft 365 and fitness-management platforms.

  • Ability to move throughout the Fitness & Wellness facilities; stand and walk for extended periods; bend, stoop and reach as necessary; lift up to 40 pounds using appropriate safety procedures; use computers and fitness-management technology; and work occasional evenings, weekends or extended hours based upon operational needs.
  • Extensive use of fingers for typing and visual use of the computer monitor.

Nice To Haves

  • bachelor's degree in fitness management, recreation, hospitality, business, exercise science or related field preferred.
  • Experience in an active-adult community, private club, resort, luxury residential community or high-quality fitness/wellness environment preferred.
  • Experience working with active older adults and an understanding of age-appropriate fitness and wellness programming strongly preferred.
  • Personal training or other nationally recognized fitness certification preferred.
  • WellnessLiving experience preferred.
  • May be required to perform work outdoors during all seasons
  • Ability to climb ladders and work at heights above ground level.
  • May be required to travel for training sessions off-site
  • Ability to work extended hours and weekends if needed.

Responsibilities

  • Manage the day-to-day operations of Fitness & Wellness, including group fitness, personal training, spa and wellness services.
  • Manage class and service schedules, facility utilization, provider coverage and departmental administrative processes.
  • Evaluate participation, utilization, resident feedback and program effectiveness and recommend appropriate operational improvements.
  • Plan and coordinate approved fitness and wellness events, workshops, seminars and resident engagement initiatives.
  • Identify fitness and wellness trends and service opportunities appropriate for an active 55+ population
  • Participate in annual and quarterly operational planning, including research related to programming, services, equipment and budget needs.
  • Oversee independent contractors providing personal training, group fitness, massage, esthetic, nutrition and other wellness services.
  • Coordinate provider onboarding and annual renewal requirements, including certifications, credentials, insurance and other required documentation.
  • Periodically evaluate instructors and service providers for quality, professionalism, resident experience, safety and effectiveness.
  • Manage provider scheduling and coverage to minimize class cancellations and service interruptions.
  • Review attendance and service records and ensure vendor payment requests are accurate and submitted timely.
  • Participate in the identification and evaluation of new service providers as operational needs arise.
  • Maintain a visible, professional presence within Fitness & Wellness spaces and foster positive relationships with residents.
  • Respond to resident concerns and service issues requiring management-level assistance while maintaining appropriate professional boundaries and structured administrative work time.
  • Conduct or coordinate facility and program tours, service inquiries and follow-up with residents interested in available services.
  • Monitor resident satisfaction, participation and feedback and identify trends requiring operational attention.
  • Support fitness and wellness initiatives designed to increase resident engagement and participation.
  • Maintain accurate participation, attendance, utilization and service data through WellnessLiving and other approved systems.
  • Review operational and sales reports and prepare regular management reports identifying participation trends, service performance, provider performance, resident feedback and areas requiring attention.
  • Meet regularly with the Lifestyle Director and senior management to review performance, trends, challenges and opportunities.
  • Prepare and present Fitness & Wellness updates for the Board of Directors and other leadership meetings as requested.
  • Provide research, operational data, vendor information and equipment needs to support senior management's annual budget and planning processes.
  • Collaborate with the Communications Coordinator by providing program information, resident trends and operational input to support promotion and development of wellness services.
  • Routinely inspect Fitness & Wellness spaces for cleanliness, presentation, safety and operational readiness and coordinate deficiencies with Maintenance, Janitorial or Property Management.
  • Maintain equipment inventory and lifecycle information and participate in equipment research, RFPs and replacement planning.
  • Ensure providers comply with applicable safety procedures, professional requirements and established operating standards.
  • Maintain existing emergency preparedness, CPR/AED readiness and incident-reporting procedures.
  • Ensure Fitness & Wellness services remain within the appropriate professional scope of practice and escalate safety, credentialing or compliance concerns as necessary.
  • Participate in special projects, community events and training as required.
  • Perform other duties and responsibilities as assigned.
  • Oversees the network of independent contractors and service providers supporting Fitness & Wellness, including personal trainers, group fitness instructors, massage therapists, estheticians and nutrition/wellness providers. Responsibilities include onboarding, credential verification, scheduling coordination, service-quality monitoring, performance evaluation, coverage, resident feedback and contract-compliance oversight.
