Requirements

  • Equivalent to a bachelor's degree in a related field and two years of related experience required.
  • Highly proficient in Excel with strong analytical abilities.
  • Solid working knowledge of standard practices and procedures within college and departmental environments.
  • Capacity to quickly learn, interpret, and apply a broad range of policies impacting the College of Business, its departments, and programs.
  • Excellent organizational skills.
  • Advanced computer proficiency across Microsoft Office applications and databases.
  • Ability to communicate effectively both in writing and verbally.
  • Ability to build and maintain positive working relationships with faculty, staff, students, and vendors.
  • Ability to work independently with sound judgment, accuracy, and efficiency.
  • Ability to thrive in a diverse and collaborative community.
  • Ability to communicate with an ethnically and culturally diverse campus community.

Nice To Haves

  • Equivalent to five years of administrative support experience.
  • Bachelor's degree.
  • Training and experience at the expert level in the use of the Microsoft Office Suite (i.e., Word, Excel, and Access) preferred.

Responsibilities

  • Oversee and track fiscal transactions, perform budget analysis and coordinate budget reports for college with primary focus on delegating incoming and completed tasks for academic departments.
  • Fiscal lead for academic departments (including travel, procurement, direct expense purchases, hospitality, and other contracts).
  • Verifies and corrects information as needed to ensure accuracy, completeness, and adherence to campus policies and procedures.
  • Responsible for tracking faculty assigned time approvals.
  • Oversees academic contract approval process including preparation of contracts by staff and submitting contracts in a timely manner to ASM.
  • Serves as timekeeper for student payroll and provides training in the CMS HR System Time Reporting & Approval System.
  • Audit student vouchers collected by staff for accuracy and report inconsistencies to student supervisors and college chairs.
  • Provides assistance with instructional technology on COB websites.
  • Works with instructional technology to provides expertise on college support areas workflow submissions and software technology to support these workflows from Dean’s office to staff, faculty to staff, and Dean’s office to campus community.
