About The Position

The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. This is a SPECIAL APPOINTMENT position where the incumbent will work at the pleasure of the appointing authority. The main purpose of this position is to perform administrative and fiscal duties to support the finance department at the MD Police and Correctional Training Commissions. The duties include but are not limited to general administrative clerical support, financial deposits, FMIS data entries, materials and supplies management, accounts payable functions, physical inventory, development and implementation of automated spreadsheets, requisition tracking and mailroom duties.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Three years of experience reviewing, verifying, recording, adjusting and balancing financial transactions.
  • Six credit hours in accounting from an accredited college or university may be substituted for one year of the required experience.

Nice To Haves

  • One year of professional experience working with Microsoft Excel.
  • One year of professional experience working with Google Suite.

Responsibilities

  • Perform general administrative clerical support, including filing, copying, scanning, and shredding.
  • Communicate fiscal related activity to the agency.
  • Review and process accounts payable documents, obtain approval from end users to pay invoices, code invoices with correct PCA, Aobj and PO numbers, scan and email to A/P department for processing, mark paid invoices with correct V, D, IA numbers, and file paid invoices.
  • Follow up with vendors to resolve all outstanding issues and reconcile invoice discrepancies.
  • Communicate with DPSCS Fiscal Unit regarding processing of invoices and payments to vendors.
  • Create daily receipt allocations in Excel spreadsheet, code all checks and cash with accurate PCA, Aobj, and TC.
  • Input accurate and complete deposits in FMIS (Financial Management Information System).
  • Maintain a schedule for shredding deposited checks and manage chargebacks.
  • Contact clients with any outstanding issues.
  • Perform tasks within the Enterprise Inventory Management System (eIMS) such as assisting with inventory, monitoring quantity of Office supplies items, Janitorial supplies, Maintenance supplies and Uniforms, ordering supplies to replenish inventory stockrooms, and withdrawing supplies from eIMS.
  • Review and analyze open purchase orders.
  • Create and maintain procurement spreadsheet to log all approved and rejected requisitions to capture amounts, coding, procurement tracking numbers and status of open requisitions.
  • Serve as the primary backup for the Service Specialist.
  • Assist with mailroom duties, perform shipping and receiving tasks, create packing slips, follow up on outstanding orders, and assist with issuing uniforms.
  • Reconcile lodging reports, review billing for training, prepare and submit requisitions in Smartsheet.
  • Perform other duties as assigned.
