About The Position

This position will be for the Fire Department. The purpose of this role is to perform a variety of technical clerical tasks in support of processing building permits for commercial and residential projects. This includes providing difficult, complex, and specialized office support, informing the general public on operations and activities regarding building permits, maintaining program information, files, and records, and performing a variety of technical duties relative to the Building Department. This is a full journey-level class where employees perform the full range of duties as assigned, receiving only occasional instruction or assistance as new or unusual situations arise, and are fully aware of the operating procedures and policies of the work unit.

Requirements

  • Knowledge of operations, services and activities of Building Department.
  • Knowledge of methods and techniques of calculating fees for services.
  • Knowledge of rules, regulations, policies and procedures in assigned programs.
  • Knowledge of principles of business letter writing.
  • Knowledge of mathematical calculations.
  • Knowledge of principles of filing and record keeping.
  • Knowledge of proper English usage, spelling, punctuation and grammar.
  • Knowledge of modern office equipment including computers and supporting word processing and spreadsheet software applications.
  • Knowledge of pertinent Federal, State and local laws, codes and regulations.
  • Ability to perform a variety of complex or specialized office duties in Building Department.
  • Ability to type at a speed necessary for successful job completion if assigned.
  • Ability to prepare business letters and memoranda.
  • Ability to explain policies and procedures involving various permits.
  • Ability to perform mathematical calculations.
  • Ability to maintain a variety of files and records.
  • Ability to review and process documents.
  • Ability to operate office equipment including computers and supporting word processing and spreadsheet applications.
  • Ability to interpret and explain City policies and procedures.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to establish and maintain effective working relationships with those contacted in the course of work.
  • Ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities.
  • One year of administrative or technical program support experience.
  • High School diploma or equivalent.
  • Possession of a State of California driver license.

Responsibilities

  • Issues permits based on type of plans submitted.
  • Accepts plans and prepares for plan check process.
  • Maintains log book for all plan check submittments.
  • Processes Certificate of Occupancy permits for businesses.
  • Researches and assembles information from a variety of sources for the completion of reports and forms.
  • Provides information to the general public on permits that may require the use of judgment and explanation of program rules, policies and procedures.
  • Answers the telephone; responds to questions and/or refers callers to appropriate City staff; takes detailed and accurate messages as required; responds to inquiries from the general public.
  • Provides cashiering services for the department; processes payments for Building, Planning and Engineering Divisions.
  • Processes inspection requests by phone or over the counter.
  • Files documents and plans; copies forms, enters and retrieves data, and updates data as necessary; maintains hand-out forms and orders supplies.
  • May accept payments for services or fees; balance related ledgers; refers checks which do not clear to appropriate staff or agency.
