Touchstone Wealth is seeking a highly organized, proactive, and detail-oriented Financial Services Operations Coordinator to support our growing team of Financial Advisors. This individual will play a critical role in the day-to-day operational management of the practice, helping ensure a seamless client experience across insurance, investment, and ongoing service workflows. Responsibilities

  • Serve as a primary contact for client service requests and follow-up items
  • Communicate with clients regarding account paperwork, outstanding requirements, and next steps
  • Coordinate client meetings, scheduling, confirmations, and reminders
  • Maintain accurate and up-to-date client records within CRM and internal systems
  • Manage insurance applications throughout the underwriting process from submission through policy delivery
  • Complete insurance applications and related documentation once advisor information is provided
  • Schedule client medical exams and coordinate outstanding underwriting requirements
  • Communicate directly with clients, underwriting teams, and internal New Business Coordinators regarding case status and requirements
  • Monitor pending cases and proactively follow through to completion
  • Prepare and process investment account paperwork
  • Coordinate rollover calls and account transfer processes
  • Monitor new account paperwork and processing
  • Maintain organized digital client files and documentation
  • Upload and maintain required compliance documentation including client contact notes, supporting documents, and case activity
  • Monitor advisor licensing and product training requirements
  • Assist in maintaining operational consistency and workflow organization across the team
  • Collaborate closely with advisors and team members to support client experience and firm growth
  • Participate in team meetings and process improvement discussions
  • Assist with client events, workshops, and seminars as needed
