Requirements

  • 18 months of experience or training in accounting and/or finance, including basic experience with spreadsheet software.
  • OR completion of a high school technical program in accounting; 6 months of experience or training in accounting or finance, including basic experience with spreadsheet software.
  • OR completion of an associate core program in business administration, accounting, finance, or a related field.

Responsibilities

  • Ensures employees are accurately entered and maintained into the Kronos Timekeeping System People Editor, applying correct pay rules, holiday group codes, and union codes.
  • Verifies and posts leave usage and work schedules into the Kronos Timekeeping System and maintains and files records.
  • Audits and verifies timesheets to meet payroll processing deadlines, ensuring time interfaces correctly from Kronos to OAKS and making corrections as needed.
  • Ensures accurate pay calculations in OAKS, calculating and/or posting additional pay earnings codes.
  • Calculates and/or posts time reporting codes in timesheets, including leave balance adjustments and previous pay period adjustments.
  • Enters deductions and withholdings.
  • Enters appropriate payroll coding into the OAKS Payroll system for electronic fund transfers, Pay Works Card, leave conversion requests, and payroll deductions.
  • Processes taxes, including federal, state, local, and school district.
  • Reviews and generates OAKS and Cognos reports for accuracy verification and resolves discrepancies.
  • Runs and reviews Kronos reports for issues such as missed punches, employee ID mismatches, and concurrent sick and overtime or sick and holiday usage.
  • Maintains and files deduction cards, tax forms, and EFT enrollment and cancellation forms.
  • Responds to and researches employee questions regarding payroll matters.
  • Interprets the Ohio Revised and Administrative Codes, collective bargaining unit agreements, DAS directives, and DRC policies and procedures related to payroll.
  • Alerts supervisor to problem situations.
  • Assists in conducting presentations, new hire orientations, and training sessions on payroll issues.
  • Organizes and distributes written communication, including conversion forms, confidential mailings, pay warrants, garnishments, child support orders, and check enclosures.
  • Processes requests for manual paychecks.
  • Researches OAKS discrepancies and contacts supervisors and employees to discuss and correct them.
  • Performs other related duties such as requesting replacement W2s, recreating W2s issued prior to 2007, completing verification of employment forms, and filing.
  • Works on special projects and/or committees.
  • Attends meetings, trainings, and conferences.
