About The Position

The Financial Associate (Payroll) is responsible for ensuring the accurate entry and maintenance of employee data in the Kronos Timekeeping System People Editor, including applying correct pay rules, holiday group codes, and union codes. This role involves verifying and posting leave usage and work schedules, auditing timesheets to meet payroll processing deadlines, and ensuring accurate pay calculations in OAKS. Key duties also include calculating and posting additional pay earnings and time reporting codes, entering deductions and withholdings, and processing taxes (federal, state, local, and school district). The associate reviews and generates OAKS and Cognos reports to verify accuracy and resolve discrepancies, runs and reviews Kronos reports, and maintains payroll-related records. The position requires responding to employee questions, interpreting relevant Ohio Revised and Administrative Codes, collective bargaining agreements, and DRC policies, and assisting in presentations, new hire orientations, and training sessions on payroll issues. Additionally, the role involves organizing and distributing written communication, processing manual paychecks, researching OAKS discrepancies, and performing other related duties such as recreating W2s and completing verification of employment forms. The associate may also work on special projects and committees and attend meetings, trainings, and conferences.

Requirements

  • Selection devises, proficiency testing and/or assessment may be used to determine if an applicant meets and is proficient in the minimum qualifications for this position.
  • 18 months experience or 18 months training in accounting and/or finance to include a basic level of experience in spreadsheet software.
  • OR completion of high school technical program in accounting; 6 months experience or 6 months training in accounting or finance to include a basic level of experience in spreadsheet software.
  • OR completion of associate core program in business administration, accounting, finance or related field.
  • OR equivalent of Minimum Class Qualifications for Employment noted above.

Responsibilities

  • Ensures employees are accurately entered and maintained into Kronos Timekeeping System People Editor (e.g., applies correct pay rules, holiday group codes, union codes).
  • Verifies and posts leave usage and work schedules into Kronos Timekeeping System and maintains and files records (e.g., requests for leaves, overtime, schedule changes).
  • Audits and verifies timesheets to meet payroll processing deadlines (e.g., ensures time interfaced from Kronos to OAKS properly and corrects as needed).
  • Ensures accurate pay calculations in OAKS, calculates and/or posts additional pay earnings code (e.g., TWL, grievance settlements, fines).
  • Calculate and/or posts time reporting codes in timesheets (e.g., leave balance adjustments, previous pay period adjustments).
  • Enters deductions and withholdings.
  • Enters appropriate payroll coding into OAKS Payroll system for electronic fund transfers, Pay Works Card, leave conversion requests and payroll deductions (e.g., credit union, uniform allowance, union dues).
  • Processes taxes, federal, state, local and school district.
  • Reviews and generates OAKS and Cognos reports for verification of accuracy and resolves any discrepancies (e.g., exception, no paycheck, low and high net, zero net, paycheck error, less than 80 hours).
  • Run and reviews Kronos reports (e.g., missed punches, employee ID no match, sick and overtime in same week, sick and holiday same week, absentee report).
  • Maintains and files (e.g., deduction cards, tax forms, EFT enrollment and cancellation forms).
  • Responds to and researches if needed employee questions regarding payroll matters.
  • Interprets the Ohio Revised and Administrative Codes, various collective bargaining unit agreements, DAS directives, DRC policies and procedures relating to payroll.
  • Alerts supervisor to problem situations.
  • Assists as needed in conducting presentations, new hire orientation and training sessions on payroll issues.
  • Organizes and distributes written communication (e.g., conversion forms, confidential mailings, pay warrants, garnishments and child support orders, check enclosures) as required.
  • Processes requests for manual paychecks.
  • Researches OAKS discrepancies (e.g., error to leave balances, or pay warrant errors rate) and contacts supervisors and employees to discuss and correct discrepancies.
  • Performs other related duties (e.g., requests replacement W2’s for 2007 or later issued W2’s, Required to recreate W2’s issued prior to 2007, completes verification of employment forms, files).
  • Works on special projects &/or committees.
  • Attends meetings, trainings & conferences.
