About The Position

The University of Louisville and Student Financial Aid Office (SFAO) is inviting applicants to apply for an Financial Aid Specialist II position. The primary function of this position is to assist the Aid Application and Award Evaluation (AAAE) Team with processing aid, including reviews of awards based on federal aid and state need-based aid eligibility requirements and manual posting of awards in accordance with federal, state, and institutional regulations, policies, and procedures. Additional tasks include managing specific federal aid programs, working with students to resolve discrepancies, and utilizing query and reporting mechanisms to monitor system activity, process aid, and ensure data accuracy. This position will assist the Systems Analyst of the AAAE Team with various job duties by providing administration support to the Team, reports to the Assistant Director of the AAAE Team, and will assist with other duties assigned by the management of the SFAO. The ideal candidate will have a foundational knowledge of federal aid programs and regulations, demonstrate a strong work ethic and a high attention to detail, and have effective communication skills.

Requirements

  • Bachelor's degree in a related field and two (2) years of relevant experience or an equivalent combination of education and experience.

Responsibilities

  • Provide assistance with monitoring eligibility requirements, ensuring the accuracy of awards, and awarding aid in accordance with federal, state, and institutional regulations, guidelines, policies, and procedures through use of data provided by the Systems Analyst and Assistant Director of the AAAE Team and by utilizing query and reporting mechanisms.
  • Manage the Federal Work-Study (FWS) program—create and send FWS authorization notices, review FWS awards not accepted by set deadline, cancel FWS awards for students not set-up on payroll, monitor earnings, and complete monthly reconciliation—and potentially other specific federal aid programs.
  • Evaluate and update federal aggregate aid, including Lifetime Eligibility Used for Federal Pell Grants.
  • Complete budget updates for federal aid recipients, including students enrolled in non-term programs and non-standard terms, and identify award discrepancies.
  • Assist with Satisfactory Academic Progress (SAP) processes.
  • Certify alternative loan applications, resolve discrepancies on applications, communicate with students about discrepancies, and manually award estimated awards.
  • Assist with managing the intake of part-time aid adjustment forms and with related processes.
  • Complete other duties assigned as needed to fulfill the obligations of the AAAE Team.
