About The Position

The Temporary Financial Aid Assistant position will provide administrative and operational support to the Financial Aid Office to ensure the timely and effective delivery of financial aid services to students. The position will assist with the processing, review, and maintenance of financial aid records and documentation, respond to student inquiries, and support the daily operations of the office. The Financial Aid Assistant will work closely with students, staff, and other University departments while maintaining accuracy, confidentiality, and compliance with applicable federal, state, and institutional policies and regulations.

Requirements

  • Associate degree or equivalent college-level education required
  • Basic knowledge of Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Strong organizational skills and attention to detail, with the ability to maintain accurate records and documentation.
  • Excellent written and verbal communication skills, with the ability to interact professionally with students, faculty, staff, and external stakeholders.
  • Ability to manage multiple tasks, prioritize assignments, and meet established deadlines in a fast-paced environment.
  • Strong customer service and interpersonal skills, with a student-centered approach.
  • Ability to work independently while also collaborating effectively with members of the Financial Aid Office and other University departments.
  • Temporary position; employment is subject to the terms and duration established by the University.

Nice To Haves

  • Bachelor’s degree in Business Administration, Finance, Education, or a related field preferred.
  • Previous administrative, clerical, customer service, or financial aid experience preferred.
  • Familiarity with financial aid processes, student services, or higher education environments preferred.
  • Bilingual proficiency in Spanish and English preferred, reflecting the University’s multicultural community and mission.

Responsibilities

  • Provide administrative support to the Financial Aid Office in the daily processing and management of student financial aid activities.
  • Assist with the collection, review, organization, and processing of financial aid applications, forms, and supporting documentation.
  • Review student records and documentation for completeness and accuracy and identify missing or inconsistent information for follow-up.
  • Assist students with general questions regarding financial aid processes, requirements, documentation, deadlines, and available resources.
  • Respond to student inquiries by phone, email, in person, or through other designated communication channels in a timely and professional manner.
  • Assist with the processing and maintenance of financial aid records in accordance with University policies and applicable regulations.
  • Enter, update, and verify student information and financial aid data in designated systems with accuracy and attention to detail.
  • Maintain organized and confidential financial aid files, records, and documentation.
  • Assist with monitoring outstanding documentation and following up with students regarding incomplete financial aid requirements.
  • Support the preparation of reports, correspondence, forms, and other materials related to financial aid operations.
  • Assist Financial Aid staff with student appointments, office communications, workshops, orientations, and other financial aid-related activities.
  • Collaborate with Admissions, Registrar, Student Accounts, Business Office, and other University departments to facilitate the timely resolution of student financial aid matters.
  • Assist in identifying and resolving discrepancies or issues in student records and financial aid documentation, escalating complex matters to appropriate staff members.
  • Ensure that all student information is handled confidentially and in accordance with University policies and applicable privacy requirements.
  • Assist with special projects, data entry, file reviews, and other operational activities as assigned by the Financial Aid Director or supervisor.
  • Maintain a professional, courteous, and student-centered approach in all interactions.
  • Perform other duties and special projects as assigned to contribute to the effective operation of the Financial Aid Office and the University.
