About The Position

The Financial Administrator plays a critical role in supporting mortgage origination by managing operational and administrative activities throughout the lending process. Acting as the operational bridge between external mortgage brokers, the Business Development Manager, and the internal credit and legal teams, this role ensures that mortgage applications move smoothly from initial broker contact through credit review to legal instruction and funding. The Financial Administrator provides consistent communication, meticulous documentation management, and exceptional service to brokers in a dynamic, fast-paced financial services environment.

Requirements

  • Minimum 2+ years of experience in an administrative role, preferably within the finance or mortgage-related industry.
  • Demonstrated ability to maintain and manage relationships with external brokers or clients.
  • Strong verbal and written communication skills in English, with the ability to convey information clearly and professionally.
  • Professional phone etiquette and a client service mindset focused on responsiveness and reliability.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Post-secondary education with a degree or diploma required.
  • High level of attention to detail and accuracy in documentation and data entry.
  • Ability to work efficiently in a structured, deadline-driven environment.
  • Personable and easy to get along with others in a large office setting.
  • Outgoing, communicative, and comfortable interacting with a variety of stakeholders.

Responsibilities

  • Prepare and submit complete and accurate mortgage applications to the internal credit team.
  • Act as the primary point of contact between external brokers and the internal credit team throughout the approval process.
  • Collect, review, and track all required borrower and property documentation to support mortgage applications.
  • Monitor and follow up on outstanding conditions and documentation to ensure files continue to move forward without delays.
  • Keep brokers informed of file status, next steps, and any required actions in a timely and professional manner.
  • Prepare completed and approved files for submission to the legal and funding team, ensuring all conditions are satisfied.
  • Conduct preliminary reviews of mortgage applications, credit information, and property details to identify potential issues.
  • Identify and escalate potential concerns or complex issues to the credit team when necessary.
  • Maintain accurate records and update internal systems and databases with current file information and documentation.
  • Support Business Development Managers with broker communications, relationship management, and coordination of events.
  • Provide exceptional service to brokers by delivering prompt, clear, and professional communication throughout the lending process.
  • Collaborate effectively within a large office environment, contributing to a positive and supportive team culture.
