About The Position

Provides financial and administrative support in Post-Award management of sponsored awards, grants and contracts within the Research Finance Office (RFO).

Requirements

  • Associate's degree in Accounting, Finance, Liberal Arts or related field required.
  • 0-1 years related work experience required.
  • Experience with computer systems required, including web-based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access.

  • Bachelor's degree preferred.
  • Background in Accounting, Finance and/or Life Sciences or prior experience in healthcare.

Responsibilities

  • Works with RFO staff and management to review, data-enter and create new cost centers for awards, grants and contracts as they are awarded by sponsored agencies.
  • Generates approval matrix for each new cost center to allow lab personnel access to sponsored fund use.
  • Maintains all documents related to the establishment of a cost center for RFO use as well as Research Team use, as these documents are audited annually as part of the annual A-133 audit.
  • Assists staff and management in reviewing and processing budget adjustments and carries forward requests related to existing sponsored awards, grants and contracts.
  • Creates a strong working relationship with RFO staff members and all Research Teams under R&AA. These relationships assist in resolving issues and in meeting established timeframes and are critical to have a productive workflow within each accounting cycle.
  • Monitors all cash, checks and wires in a timely manner for receipt and deposit on sponsored awards, grants and contracts to ensure batch postings of same and accuracy of same.
  • Learns and has an awareness of general accounting principles and develops an understanding of the compliance and regulatory environment related to sponsored research finances.
  • Maintains all documents related to the receipt and deposit of all sponsored funds. Ensures these records are available to fellow RFO staff and Research Team personnel as these documents are audited annually as part of the annual A-133 audit.
  • Communicates through various means to resolve issues that may arise and maintains a full understanding of the sponsored project in order to resolve the various matters.
  • Collaborates with various staff in RFO and with various departments through-out BIDMC such as general finance, OSP, TVO, CTO and PFS and others to ensure proper and timely completion of various job functions.
