About The Position

The Bainbridge Island Museum of Art (BIMA) is a non-profit art museum dedicated to inspiring curiosity, wonder, and understanding by connecting people with the contemporary arts and craft of the Puget Sound region. The Finance & Payroll Associate reports to and collaborates with the Director of Business & Finance to support the museum's financial operations. This role involves handling daily transactions, assisting with month-end accounting, processing bi-weekly payroll, and providing staff support.

Requirements

  • Two year college degree in business or accounting, or equivalent professional experience.
  • Understanding of confidentiality and staff privacy.
  • Understanding of maintaining a professional relationship with staff at all times.
  • Knowledge of accrual accounting guidelines, internal control procedures, and accounting best practices.
  • Proficiency with accounting programs, office databases, and computer systems including QuickBooks, Excel, MS Office, Google Suite.
  • Understanding of retail practices, including inventory management and Point of Sale (POS) systems.
  • Team player with the ability to work in a fast-paced, complicated environment with minimal supervision.
  • Excellent organizing and planning skills with attention to detail.
  • Excellent problem solver and critical thinker.
  • Excellent communication skills (oral & written), including teaching others and learning new concepts and skills.
  • Ability to work flexible hours including evenings and weekends.
  • Ability to remain stationary (sit, walk, stand) for extended periods of time.
  • Ability to use computer monitors and keyboards for extended periods of time.
  • Ability to move 30 pounds.

Responsibilities

  • Process daily financial transactions, including posting, reviewing, and reconciling accounts payable and receivable.
  • Pick up museum daily transactions for processing, create daily cash deposits, and deliver to the bank.
  • Pick up mail from museum and administrative offices, dispersing and processing payments as needed.
  • Scan all incoming checks, enter checks into the accounting system, and communicate with Development on received contributions.
  • Pick up cash from donation boxes weekly and perform a double count with a second staff member.
  • Manage office supplies and main printers/copiers, including service and supplies.
  • Perform accounts payable duties and weekly check runs.
  • Track and communicate contributions with the Development department and assist in reconciling the development database (Salesforce) with the accounting system (QuickBooks) monthly.
  • Prepare journal entries and perform various data entry duties.
  • Maintain and organize accounting file systems, spreadsheets, and databases for security and accessibility.
  • Process monthly credit card transactions, send reconciliations to staff, ensure receipts are submitted, and enter into the accounting system.
  • Process online event and donation activity.
  • Set up files for the new accounting year.
  • Assist in annual audit functions.
  • Perform filing tasks as needed.
  • Serve as a resource for staff accounting questions.
  • Be available to work evenings, weekends, and holidays depending on scheduled events and organization needs, particularly BIMA’s annual fundraising event, the BASH.
  • Other duties as assigned.
  • Responsible for payroll processing, including scheduled bi-weekly payroll and any off-schedule payment processing using the Paylocity payroll/HR platform.
  • Maintain the payroll system with all current and relevant documents.
  • Manage the Employee Navigator benefit platform.
  • Assist with year-end insurance reporting requirements.
  • Assist with benefit administration.
  • Collaborate with all departments on payroll processing, staff payroll training/troubleshooting, Employee Navigator assistance, background checks, vacation, PTO, and tax monitoring.
  • Assist the Director of Business and Finance with documenting personnel policies and procedures and updating the employee benefits handbook.
  • Onboard new hires via Paylocity and in-person, coordinating with other departments.
  • Assist with staff engagement initiatives.
  • Participate in occasional required evening, weekend, and other non-office hour BIMA events as needed, including BIMA’s annual fundraiser and member parties.
