About The Position

Timberline is looking for a Finance & Administrative Compliance Coordinator to join our team and help keep the business running smoothly behind the scenes. This is a great opportunity for someone who is organized, curious, dependable, and enjoys having a hand in a little bit of everything. You'll support our Finance team while taking ownership of important administrative and compliance processes - from tracking business licenses and state registrations to managing insurance documentation, prequalification requirements, records, and basic accounting tasks. You don't need to be a compliance expert. If you're organized, willing to learn, and good at following something through from "we need this" to "it's done," we'll teach you the rest.

Requirements

  • 2+ years of administrative, office management, bookkeeping, finance, or related experience.
  • Strong organizational skills and exceptional attention to detail.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
  • Strong written and verbal communication skills.
  • The ability to manage multiple priorities and deadlines.
  • Strong follow-up and problem-solving skills.
  • A high level of professionalism and discretion when handling confidential information.

Nice To Haves

  • Experience with accounting, bookkeeping, compliance, insurance administration, business registrations, licensing, or working with governmental agencies is a plus.
  • Experience with multi-state business operations or client prequalification systems is also helpful.
  • Naturally organized and someone who enjoys creating order out of chaos.
  • Proactive and willing to take ownership of tasks.
  • Comfortable working with spreadsheets, deadlines, and detailed information.
  • Curious and eager to learn new areas of the business.
  • Dependable and willing to follow things through to completion.
  • Comfortable communicating with internal teams, vendors, insurance brokers, and government agencies.
  • A team player who is willing to pitch in wherever needed.

Responsibilities

  • Keep track of state registrations, business licenses, renewals, and compliance requirements across multiple states.
  • Maintain compliance calendars so important deadlines don't sneak up on us.
  • Help manage sales tax registrations and renewals.
  • Keep insurance policies, certificates, renewals, and related documentation organized and up to date.
  • Coordinate requests for Certificates of Insurance and work with our insurance brokers.
  • Help gather information and documentation for annual insurance renewals.
  • Monitor client prequalification portals and make sure required information stays current.
  • Maintain company records, files, databases, and tracking systems.
  • Prepare spreadsheets, reports, correspondence, and other business documents.
  • Support the Finance team with data entry, bookkeeping, basic accounting tasks, and journal entries.
  • Research requirements from state and governmental agencies and help communicate changes internally.
  • Assist with audits, compliance requests, and special projects.
  • Jump in wherever the Finance and Administrative team needs an extra set of hands.
