About The Position

The Final Document Specialist obtains and follows-up on all required Recorded Mortgages, Final Titles and Insuring Documents in a timely manner, logging them into various platforms and forwards to the intended Investors as applicable.

Requirements

  • High School Diploma or General Equivalency Degree (GED)
  • At least 2 years of experience in a professional business environment
  • Proficient in a PC / Windows based environment, including use of Email and Internet
  • Working knowledge of Microsoft Word and Excel
  • Working knowledge of all internal programs and applications i.e. Encompass, Fiserv DNA, Servicing Director, etc

Responsibilities

  • Ensure the complete collection of all final documents (i.e. Final Title Policies, Recording Endorsements, Recorded Mortgages, Recorded Assignments, MIC’S, LNG’s and LGC’s) for every closed loan through Broadview's mortgage services.
  • Logs all trailing documents into platform systems with specific document information.
  • Maintains excel spreadsheets to ensure all final documents are received and delivered within investor guidelines.
  • Creates document tracking for all Investors and Retained Loans.
  • Provide prompt delivery with detailed transmittal of all original documents to each specific investor and delivered to investors or Ginnie Mae within 180 days for released loans.
  • Obtaining any corrections required of any final document either prior to being forwarded to investor or one’s rejected and returned by specific investor (errors on the title policies, incorrectly assigned recorded assignments etc).
  • Completion and following up on monthly outstanding document reporting and obtaining final documents pending via phone calls, emails or county websites.
  • Mortgage Discharges–Prepare, Process and Correct shortage/overage per County Requests. Each county has a required discharge fee based on set factors. Fees must be accurate to release the CU's lien or to record a new lien.
  • Once a loan is paid off, Mortgages are logged. Complete discharges to be filed with the County Clerk within 30 days of the payoff date.
  • Creation of document-tracking reports for all Investors.
  • Other duties as needed
