About The Position

The File Migration Specialist will support a three-month fixed-term file migration project at a vertically integrated multifamily real estate firm. The role focuses on moving, organizing, and verifying files across existing file systems and SharePoint. Specialists will follow the project’s migration plan and folder structure, review content before migration, apply agreed naming conventions and metadata, verify migrated batches, and keep project records current. They will also coordinate with team members about file locations and escalate problems or decisions to the project lead. The role requires everyday SharePoint user skills, attention to detail, and the ability to work independently through a high volume of tasks. Programming and SharePoint administration are not required.

Requirements

  • At least 1 year of experience working with file systems, such as Windows file shares, network drives, or cloud storage including OneDrive, Google Drive, or Dropbox.
  • Hands-on experience using SharePoint to upload, move, and organize files; work with document libraries, folders, versions, and basic sharing settings.
  • Strong organization and attention to detail when handling large volumes of files.
  • Proficiency with Microsoft 365, including Excel for tracking, Teams, and Outlook.
  • Clear written and spoken English for status updates and questions to the team.
  • Ability to work independently, follow a defined process, and maintain an accurate work log.
  • Availability for a three-month fixed-term engagement starting soon.

  • Familiarity as a user with SharePoint migration tools such as SharePoint Migration Tool (SPMT) or ShareGate.
  • Basic understanding of file permissions and folder-level access.
  • Experience with records retention or document management practices.

Responsibilities

  • Move files and folders from existing file shares and drives into SharePoint according to the migration plan and folder structure.
  • Review and clean up content before migration by flagging duplicates, outdated files, and items requiring a decision from an owner.
  • Apply agreed naming conventions, folder structures, and metadata in SharePoint document libraries.
  • Verify each migrated batch by checking file counts, whether files open correctly, and whether links and permissions work as expected.
  • Record progress, issues, and exceptions in the project tracker.
  • Promptly escalate access problems, broken files, and unclear ownership to the project lead.
  • Work with team members to confirm where files should be stored and answer basic questions about finding content in SharePoint.
