About The Position

Vision To Learn is the largest school-based vision care nonprofit in the country. VTL exists to address one basic premise – if you can’t see, you can’t learn. Vision To Learn provides eye exams and glasses to students in underserved communities at no cost to them or their families to help them succeed in school and in life. Founded in Los Angeles in 2012, Vision To Learn has since expanded to schools across the country. Vision care is critical as 80% of all learning during a child’s first 12 years is visual, we work to solve the problem of lack of access by partnering with school districts to provide eye exams and glasses at no charge to families. We have provided over 3.8 million vision screenings, 750,000 eye exams and 630,000 new, prescription glasses in the last decade. We are looking for a Field Support Specialist like you to join our team with a positive, proactive attitude, and commitment to our mission. The Field Support Specialist will work with a small team that is responsible for all operations, logistics, and support the field staff located on the mobile clinic. The Field Support Specialist will ensure that all schools in the region meets their consent deadlines and that accurate student and clinical data is maintained.

Requirements

  • Excel expertise and computer literacy is required
  • Filing skills (physical and digital)
  • Excellent communication skills
  • Experience with collecting and analyzing data and providing recommendations
  • Intermediate proficiency in Microsoft Excel strongly preferred, including the ability to manage spreadsheets, track data, and maintain rosters accurately
  • Proficiency in Microsoft Outlook, SharePoint, Word, and PowerPoint required
  • Comfortable navigating multiple systems and technology platforms in a fast-paced environment
  • Strong organizational skills with attention to detail and accuracy in data entry and documentation
  • Ability to multitask and prioritize responsibilities while supporting field operations and administrative tasks
  • Strong communication and follow-up skills when working with schools, families, and internal staff
  • Willing to commute / travel within specified region
  • Department of Justice background check/fingerprinting (LiveScan), child abuse history clearance, TB, and drug test.

Responsibilities

  • Supports daily field operations at schools, summer sites, and mobile clinic locations
  • Conducts phone outreach to families with outstanding opt-ins, provides guidance on next steps, and follows up to increase completion rates.
  • Acts as a runner during clinic days, ensuring a steady and efficient flow of students on and off the mobile vision clinics
  • Maintains organization of student flow by tracking students scheduled for screenings and exams and ensuring students are brought to the clinic in a timely manner
  • Conducts vision screenings at schools, summer camps, and community-based sites
  • Completes and maintains screening data rosters and ensures all screening information is accurate and up to date
  • Inputs, reviews, corrects, and maintains screening, consent, and patient data within internal systems, ie. EHR database and SharePoint
  • Uploads consent forms and supporting documentation into SPARTA, the organization’s electronic health record (EHR) system
  • Communicates with families regarding missing paperwork, updated prescriptions, consent forms, and other information needed to complete student exams
  • Provides day-of support to field teams and assists with administrative and EHR-related tasks during clinic visits
  • Supports Program Manager with operational follow-up, including reporting problematic sites, monitoring low consent form return rates, and assisting with outreach to unresponsive sites
  • Assists with building and updating exam rosters and communicating any conflicting or missing student information
  • Coordinates and delivers clinic and office supplies to field teams and mobile clinics as needed
  • Performs administrative support tasks on an as-needed basis to support overall program operations
  • Works on special projects and additional assignments as requested by management.
