Field Events Coordinator (Hillsborough County)

Greenbrook MedicalHillsborough County, FL
Hybrid

About The Position

The Community Outreach Coordinator makes Greenbrook's community presence in the Greater Tampa Bay area happen — running the day-to-day logistics and execution that bring our outreach strategy to life. Partnering with the Broker Relations Liaisons (BRLs) in your region, you will own the logistics that bring our community strategy to life — booking venues, coordinating materials, managing setup and teardown, coordinating community sponsorships, and running follow-up — so every touchpoint with brokers, FMOs, community partners, and seniors is professional, well-prepared, and on-brand. You’ll run a steady cadence of community touchpoints across your region, own the calendar, and keep activity moving when things slow down. You’ll make sure every event we run is tracked, measured, and tied back to results — and help us refine the playbook as we go. The BRLs build relationships with brokers and FMOs. You handle the planning, coordination, and follow-through that bring those relationships to life. This role is ideal for someone early in their career who is highly organized, outgoing, energetic, hands-on, and excited to help build the playbook for a fast-growing healthcare company from the ground up. Location: Hybrid in Hillsborough county, with significant in-region travel for events (evenings and occasional weekends required). Reports to: Director of Market Growth

Requirements

  • 1–3 years of experience in events, field marketing, community outreach, hospitality, or a related operational role.
  • Comfort with a CRM (HubSpot a plus); we will train you on our specific setup.
  • Exceptional organization and follow-through. You can run multiple events at different stages of planning without dropping the ball.
  • Hands-on and willing to do whatever it takes — that includes loading a car with materials, setting up a tabletop in 90-degree heat, and breaking down at the end of a long evening.
  • Strong written and verbal communication; comfortable representing Greenbrook to broker offices, venue partners, and seniors in the community.
  • Resourceful problem-solver — when the AV doesn’t work or a venue cancels, you find a fix.
  • Comfortable working independently in the field and using your judgment.

Nice To Haves

  • Bachelor’s degree is not required but a plus.
  • Event coordination, hospitality, service industry, or community outreach experience is helpful; healthcare or senior services background is a plus but not required.

Responsibilities

  • Own end-to-end logistics for all community touchpoints in your region: venue booking, scheduling, permits, AV, food and beverage, materials, signage, setup, and teardown.
  • Coordinate directly with venue partners, FMO contacts, broker offices, and community hosts to confirm details ahead of every event.
  • Be on-site for events to manage setup, troubleshoot in real time, and ensure each touchpoint reflects the Greenbrook brand.
  • Manage post-event follow-up: thank-yous, lead handoff to the BRLs, and feedback capture.
  • Build and maintain the regional events calendar, ensuring consistent, high-quality activity week over week.
  • Identify and develop tabletop opportunities at pharmacies, community centers, senior-serving businesses, and other high-foot-traffic venues to keep activity steady.
  • Maintain a strong working list of community partners and venues so we can activate quickly when opportunities arise.
  • Manage inventory of event materials: collateral, giveaways, signage, tablecloths, banners, sign-in tools.
  • Coordinate with marketing on refreshes and reprints.
  • Ensure every event presents Greenbrook Medical and the Tampa General Hospital partnership consistently and professionally.
  • Log every event in HubSpot with the details needed to measure outcomes: type, location, attendance, leads generated, and follow-up status.
  • Provide regular updates to the Director of Market Growth on activity, outcomes, and what’s coming up.
  • Surface patterns — what’s working, what isn’t, where there are gaps — so we can keep refining the playbook.
  • Work side-by-side with the Broker Relations Liaison(s) in your region as true partners — they lead on broker and FMO relationships, you lead on the logistics and execution that make those relationships scale.
  • Anticipate the operational needs behind broker meetings, appreciation events, and joint outreach so BRLs can stay focused on relationship-building.
  • Share intel both ways: what you’re seeing in the field, what’s coming up on the calendar, and what each BRL needs from you to be effective.

  • Competitive base salary
  • performance-based bonus tied to event execution and regional outcomes
  • paid time off
