Requirements

  • Associates degree with 2 to 4 years relevant work experience.
  • Technical/vocational school degree; and/or 4-6 years related experience.
  • Ability to handle confidential and sensitive information with utmost discretion and integrity.
  • Demonstrated record of successfully providing exceptional customer service.
  • Ability to communicate with tact and diplomacy with a wide range of internal and external constituents.
  • Experience that demonstrates sound judgment, creativity, and problem-solving skills.
  • Must be able to work independently while supporting the efforts of an overall team while fostering a respectful work environment.
  • Excellent organizational skills, and the ability to work quickly and effectively under pressure, use sound judgment in accomplishing tasks that are urgent; balance conflicting priorities, and make decisions from a wide range of choices.
  • Excellent written, verbal, and interpersonal skills.
  • Must be flexible and receptive to new ideas and approaches.
  • Accuracy in spelling, grammar, proofreading and attention to detail required.
  • Must take initiative, meet challenges with resourcefulness and tact, have ability to work independently.
  • Proficient in Outlook, Microsoft Word, Excel, Access, and PowerPoint.
  • Ability to cultivate and develop inclusive working relationships with students, faculty, staff, and community members.

Nice To Haves

  • Knowledge of University programs such as Workday, Kuali, eShop, Web Financials, Canvas, I Want Doc, Outlook Calendar, Zoom, Concur, Salesforce, OLGAA, and Faculty Center
  • Minimum of 2-3 years’ experience in a professional office setting
  • Illustrate a proven track record of successfully providing exceptional customer service.

Responsibilities

  • Collaborate with faculty to prepare and coordinate course materials, including textbooks, course packets, and online content.
  • Build and maintain Canvas course sites and support Zoom meetings/webinars.
  • Track grades and assist with course-related data and evaluations.
  • Coordinate guest speakers and academic sessions, including travel, accommodations, and logistics.
  • Coordinate course assistants (appointments, timecards, coordination of activities).
  • Support course operations including enrollment coordination and room assignments.
  • Prepare polished course documents using tools like Microsoft Word, Excel, and PowerPoint.
  • Deliver excellent customer service to faculty, staff, and partners.
  • Coordinate travel arrangements and prepare expense reimbursements using Concur.
  • Procurement of supplies, subscriptions, and memberships.
  • Monitor and track faculty budgets and expenses, providing timely updates.
  • Maintain organized systems and databases to support departmental efficiency.
  • Assist faculty and researchers with travel coordination and reimbursements.
  • Support research-related activities including journal submissions, memberships, and workshop payments.
  • Help source research documents and articles through library and academic databases.
  • Upload research outputs to platforms such as SSRN.
  • Partner on immersion programs, lab activities, and field trips (domestic and international).
  • Coordinate logistics with faculty and external partners.
  • Support specialized academic facilities and program initiatives.
  • Collaborate across teams, providing backup support when needed.
  • Participate in professional development opportunities.
  • Identify opportunities to streamline processes and improve efficiency.
