About The Position

Georgia State Law is seeking an Administrative Specialist II to provide administrative management and programmatic support for full and part-time faculty, academic programs, and various faculty committees. This role involves daily office operations such as coordinating meetings and events, database management, record-keeping, expenditure review, and managing registration, travel, and reimbursement processes. The position may also involve cross-functional duties for other areas of the College. The employee will work a schedule of 8:30 am to 5:15 pm Monday-Friday, with a meal break, and may be asked to work occasional additional hours for specialized events. One remote workday per week may be considered after the first 3 months of employment.

Requirements

  • Bachelor’s degree and two years of related experience, or a combination of education and experience.

  • Working knowledge of Microsoft Office, Panther Mart, and PeopleSoft Financials systems.

Responsibilities

  • Provides administrative management for a select group of the College’s full-time faculty and supports selected part-time faculty.
  • Manages travel accommodations program-related logistics.
  • Coordinates faculty expense reimbursement and payment of invoices.
  • Provides reconciliation of monthly expenditures and coordinates budget adjustments through appropriate departmental and University personnel.
  • Serves as an initiator of payment requests and purchase orders and ensures the proper routing and follow-up of contract and consultant agreements.
  • Works closely with faculty to facilitate the timely and accurate processing of business transactions.
  • Utilizes Panther Mart and Web Invoicing system for specific process management.
  • Prepares memoranda, teaching materials and exams, general correspondence, and other documents.
  • Maintains records and filing systems.
  • Provides administrative support for faculty search and standing committees.
  • Coordinates administrative aspects for events, conferences, symposia, workshops, and speaker events.
  • Performs other duties as assigned.
