About The Position

JLL is seeking a Facilities Executive to join their Work Dynamics team in India, APAC. This role involves overseeing the day-to-day operations of a property, ensuring administrative functions, security, and facility services are managed effectively. The Facilities Executive will focus on continuous improvement, maintaining adequate supplies, managing supply and service contracts, mitigating risks through emergency procedures, and handling crisis management and business continuity plans. Additionally, the role requires monitoring the property's budget, ensuring petty cash availability, and verifying vendor invoice compliance. A key aspect of this position is ensuring client satisfaction by addressing issues, seeking operational improvements, achieving key performance metrics, meeting service level agreements, and conducting routine service audits. The role also involves creating stock reports, meeting minutes, and monthly management reports for clients.

Requirements

  • Strong knowledge of property operations.
  • Degree in business or hotel and building management.
  • At least three to five years of experience in facilities management.
  • Good working knowledge in occupational safety.
  • Aptitude in client-centric operations.
  • Proven track record in managing a team.
  • Ability to effectively roll out improvement plans.
  • Superior communications and reporting skills.

Responsibilities

  • Oversee the property's day-to-day operations, including administrative functions, security, and facility services.
  • Ensure continuous improvement in processes.
  • Monitor and maintain adequate stocks of supplies and materials.
  • Manage supply and service contracts as approved by clients.
  • Participate in emergency evacuation procedures, crisis management, and business continuity planning.
  • Address health and safety issues and participate in their review.
  • Monitor the property's budget and ensure petty cash availability.
  • Ensure vendor invoice processes comply with standards.
  • Address difficult issues and seek opportunities to improve operations.
  • Work with the team to achieve key performance metrics and meet service level agreements.
  • Conduct routine service audits to ensure team performance.
  • Create stock reports, meeting minutes, and monthly management reports for clients.
