What this job involves: The Facility Coordinator serves as a vital liaison between JLL services and the Integrated Facility Management (IFM) team, providing comprehensive support for daily facility operations. This role ensures seamless facility management through continuous monitoring, client service excellence, and coordination of maintenance activities. As the primary point of contact for service requests, you will work closely with facility and engineering managers to maintain operational excellence while upholding JLL's commitment to exceptional customer service. This position directly contributes to JLL's mission of creating safe, efficient, and well-maintained environments for our clients.

Requirements

  • High School Diploma or GED
  • Superior customer service skills with the ability to maintain professionalism under stressful situations
  • Proficiency in Microsoft Office applications, with strong written and verbal communication skills
  • Advanced Excel skills with the ability to customize administrative reports
  • Ability to multitask, plan and manage work under time constraints, and work independently without direct supervision
  • Strong organizational skills with a detail-oriented and self-motivated approach
  • Physical ability to regularly stand, walk, use hands for manual tasks, and occasionally lift or move equipment; specific vision abilities including close vision and ability to adjust focus

Nice To Haves

  • Prior experience in facilities management, property management, hospitality, or related fields
  • Familiarity with work order management systems and facility management software
  • Experience with budget analysis and financial reporting in a facility management context
  • Knowledge of safety procedures, hazardous materials handling, and compliance with State, County, or City codes and ordinances
  • Demonstrated collaborative style and ability to provide direction to multiple stakeholders simultaneously
  • Experience supporting healthcare or mission-critical facilities

Responsibilities

  • Serve as the primary respondent for all service tickets, ensuring acknowledgment and completion within Service Level Agreement (SLA) requirements
  • Manage the complete work order lifecycle from creation through reporting to closure, including conducting site inspections
  • Schedule and oversee repairs, maintenance activities, minor works, and service requests, tracking all items to completion
  • Coordinate with vendors, facilities staff, and service providers to ensure excellent execution of work with minimal disruption to client operations
  • Monitor facility operations continuously, acting as the interface with clients, visitors, and guests while maintaining a strong customer service presence
  • Process supply orders in a timely manner and assist with budgetary requests, analysis, and variance reporting
  • Support special events, meetings, and conference room reservations as needed, with availability for weekend, after-hours, and holiday support during emergency events
