About The Position

The Facilities Coordinator (CMMS Specialist) serves as the primary administrator for the company’s Computerized Maintenance Management System (CMMS) across a portfolio of over 90 regional properties. This role is responsible for ensuring data integrity, building and standardizing equipment preventive maintenance (PM) task lists, and scheduling recurring maintenance to optimize asset life cycles. This role supports work-life balance by offering hybrid schedules, requiring employees to work at least three days in the office, including Tuesdays and Wednesdays, with the third day set by the employee and supervisor. These guidelines are subject to change. All applicants must be able to work up to five days in the office if needed.

Requirements

  • Associate’s degree or equivalent work experience.
  • Three (3) plus years in facilities or maintenance planning.
  • CMMS systems, facilities systems knowledge, planning and coordination.

Responsibilities

  • Act as the central gatekeeper and subject matter expert for the current enterprise CMMS platform.
  • Maintain an accurate, standardized asset registry for all 90+ locations, ensuring proper tagging, classification, and parent-child hierarchy for facilities equipment.
  • Conduct routine audits of open work orders, asset histories, and close-out documentation to ensure field technicians and vendors provide complete data.
  • Lead or heavily support the project to transition the utility’s portfolio to a new, to-be-determined CMMS platform.
  • Oversee the auditing, cleaning, and mapping of legacy asset data, PM schedules, and historical records for bulk import into the new software.
  • Participate in system configuration, testing workflows, and validating data accuracy prior to the new system's go-live date.
  • Develop basic user guides and deliver training sessions to field technicians, facility leads, and administrative staff to ensure smooth system adoption.
  • Author and standardize detailed, step-by-step preventive maintenance task lists based on OEM manuals, engineering standards, and utility industry best practices.
  • Build, balance, and maintain the master PM calendar across all properties to prevent bottlenecking resources or local field operations.
  • Generate weekly and monthly metrics dashboards focusing on backlog volume, PM compliance rates, mean time to repair (MTTR), and labor hours.
  • Extract history reports to support regulatory, environmental, and safety audits common to utility operations.
  • Respond to emergency situations to meet customers’ needs, which may include being called to assist during an emergency outside of normal responsibilities, work hours, and location.
