About The Position

Responsible for coordinating and performing tasks related to mailroom, facility office equipment/supplies, and building operations/maintenance. This role requires working with minimum direction and interfacing professionally with all levels of the organization, external and internal customers, and vendors. The position involves assisting with budget management for purchasing and inventory of facility and office supplies, approving orders based on contracted agreements, and administering the internal recycling program. The coordinator will also be responsible for identifying potential repairs and maintenance needs and providing support to the Facilities Manager as needed.

Requirements

  • High School education or equivalent work experience
  • Minimum 3 years of experience
  • Mailroom and Mailing Systems Experience
  • Detail-oriented with acute attention to detail
  • Must be able to lift 50 lbs.

Responsibilities

  • Process all mail and packages, including shipping, receiving, and delivery, and procure appropriate shipping supplies.
  • Pick up, log, sort, and distribute inbound mail and packages.
  • Meter and ship all outgoing mail and FedEx packages, and take them to their proper pickup points.
  • Handle very confidential mail and other information accessible as part of the position.
  • Maintain all necessary facility-related supplies and stock them in their proper areas.
  • Maintain proper inventory levels of facility products including coffee supplies, copy paper, office supplies, ink cartridges/toners, FedEx and other packaging supplies, and lighting needs.
  • Distribute supplies as needed to the appropriate areas.
  • Coordinate maintenance and repair of miscellaneous office equipment, contacting outside service vendors as necessary.
  • Maintain equipment in the building and keep appropriate records for invoicing purposes.
  • Perform small repairs and lighting replacements, including changing light bulbs as needed using a ladder.
  • Contact vendors as needed or directed for repairs and maintenance.
  • Alert the Cleaning crew of special needs or concerns.
  • Perform basic programming changes to the HVAC BAS system.
  • Accompany vendors needing access to building systems for inspection, meter reads, and maintenance.
  • Inspect emergency lights, fire extinguishers, eye wash stations, etc.
  • Obtain and input all meter readings for print/copy equipment.
  • Administer the internal recycling program (universal waste, batteries, toners, and ink cartridges).
  • Process special mailing/shipping projects for Graphics and HR, as well as building-wide distributions.
  • Assist with budget management in orders of all supplies and approve purchases accordingly from internal customers.
  • Assist with confidential document disposal, including systematic shredding of documents based on retention policy.
  • Assist with ISO inspections as needed (Weekly, Monthly, or Annually).
  • Be involved with the ISO Core team and support objectives.
  • Assist with emergency drills.
  • Backup the Regional Facilities Manager in their absence.
  • Help set up conference rooms for meetings.
