Position Overview: Work closely with the Manager, Facilities, other department staff, and vendors on a variety of tasks related to the maintenance, repair, housekeeping, and other tasks specific to maintaining the properties owned and leased by Hunter Douglas, Inc., Window Fashions, in Broomfield, Colorado. An employee in this position may be called upon to do any or all of the following essential functions. (These examples do not include all of the functions which the employee may be expected to perform.) All custodians report directly to this supervisor, who is responsible for addressing all employee matters including overseeing training programs, preparing and presenting reviews, and administering corrective actions, and managing custodian schedules to ensure adequate coverage of all buildings on all regular and overtime shifts and for special projects and events. Primary management of Roommate scheduling system to ensure room set-ups and requests are done correctly. Print weekly schedules and individual daily setup sheets for meetings, providing this information to appropriate custodians. Work with IT staff to continually improve the Roommate system. Provide training to new users of the Room-Mate. Management of all activities related to meeting and events set-ups. This includes: communicating via e-mail and phone any information or issues pertaining to or as a result of a meeting set-up; work closely with caterers or order meals, snacks and special beverages for meetings and classes. Maintain inventory of snacks and beverages and train staff to provide appropriate portions based on numbers of attendees. Work closely with custodians who are responsible for the physical set up of designated areas. Provide timely notice to them of any room, equipment or food changes, as these tend to be frequent and occasionally very “last minute”. Oversees inventory of all meeting and classroom equipment to ensure optimal working condition and availability. Assist as needed with the set up of audio/visual, flip charts, internet phone connections, laptops, etc., for events of all kinds. Manages expense budgets for janitorial supplies and janitorial services. Negotiates competitive rates agreements with vendors. Regularly communicates vendor issues, equipment repair and replacement needs, and staff concerns or other matters with Manager, Facilities. Responsible for ordering all paper products for rest rooms, lunchrooms and coffee bars, and all supplies and equipment necessary to maintain acceptable levels of cleanliness in all buildings. Ensure adequate inventory of company provided lunchroom and coffee bar amenities, and coordinate vending machine stocking, refunds to employees, and other issues with appropriate vendors. Provide Help Desk back-up support including dispatching appropriate staff to address urgent needs. Assist as needed with RFS (Request for Service) database monitoring including reviewing incoming requests, prioritization, and staff assignments. Oversee both routine and seasonal vendor activities as assigned. Conduct routine weekly inspections of all buildings including grounds to address housekeeping needs, monitor for maintenance and repair needs, and communicate via RFS as needed

Requirements

  • An Associate’s or Bachelor’s degree in a facilities-related field or general business.
  • 3-5 years of previous experience at the supervisory level or above in a manufacturing, commercial property, or comparable large site facilities maintenance group.
  • Solid interpersonal skills for effective communication with all levels of WFD employees, including conflict resolution.
  • Solid knowledge of supervisory/management practices and principles, including responsibility, authority, and accountability.
  • Solid understanding of and commitment to maintaining safe and lawful practices in accordance with company guidelines and consistent with Local, State, and Federal regulations.
  • Solid ability to prioritize multiple tasks and assignments using time management tools.
  • Solid ability to maintain composure under pressure, including emergency situations.
  • Solid PC skills, including Microsoft Word and Excel.
