About The Position

We are seeking a Facilities Specialist I to support day-to-day facility operations, maintenance coordination, vendor management, workplace safety, space planning, office services, and employee support. The ideal candidate will be organized, detail-oriented, customer-focused, and capable of coordinating multiple facilities-related activities to help maintain a safe, efficient, and well-functioning workplace.

Requirements

  • Previous experience in facilities coordination, office operations, property services, or a related role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail.
  • Good problem-solving and decision-making abilities.
  • Ability to coordinate vendors, contractors, and service providers.
  • Proficiency with Microsoft Office and other workplace productivity tools.
  • Commitment to workplace safety and customer service.
  • Ability to manage multiple priorities and follow through on assigned tasks.

Nice To Haves

  • Bachelor’s degree in Facility Management, Business Administration, or a related field.
  • Experience with facility management systems or work-order software.
  • Experience with vendor contracts, quotes, and service coordination.
  • Knowledge of environmental sustainability and waste-management practices.
  • Familiarity with budgeting, purchasing, or financial tracking.
  • Experience supporting office moves, renovations, or workspace planning.

Responsibilities

  • Assist with daily office and facility maintenance activities.
  • Coordinate repairs, cleaning, maintenance, and facility service requests.
  • Work with contractors, janitorial providers, security personnel, and other vendors.
  • Assist with obtaining quotes, reviewing service needs, and coordinating vendor work.
  • Support office space planning, workspace allocation, moves, and reconfigurations.
  • Assist with implementation of workplace safety and security procedures.
  • Support emergency response planning, access control, alarms, and safety inspections.
  • Maintain office supply and equipment inventory.
  • Ensure workplace supplies are adequately stocked and available.
  • Support recycling, waste reduction, energy conservation, and other sustainability initiatives.
  • Assist with planning meetings, conferences, and office events.
  • Coordinate meeting rooms, audiovisual equipment, setup, catering, and other logistics.
  • Maintain facilities records, maintenance documentation, service logs, and reports.
  • Monitor open facility issues and follow up through completion.
  • Provide responsive support to employees and internal stakeholders regarding workplace needs.
