About The Position

This role works independently and in coordination with the Music Operations Manager to maintain and manage School of Music facilities and equipment, and oversees shipping and receiving for all departments within the Mosse Humanities Building. General duties include: Building Maintenance: Performs routine facility inspections and monitors building cleanliness and functionality. Utilizes hand tools and basic equipment to build, install, repair, and maintain departmental equipment and infrastructure (music stands, music stand carts, whiteboards, office furniture, etc.). Coordinates with trades, craftspeople, and vendors, to determine scope and schedule of repairs and maintenance of departmental and Humanities Building spaces; coordinates and oversees annual departmental cleanings and refurbishing. Prepares and submits UW Madison Facilities Service Requests requests via wiscready.assetworks. Oversees disposal of departmental equipment and materials. Coordinates with FP&M custodial team to address urgent issues (plumbing, leaks, hazardous materials spills) and with 3rd shift custodial supervisor regarding ongoing or recurring cleanliness concerns. Mailroom: Oversees and administers all facets of shipping and receiving for School of Music, Art Department, and History Department until their relocation out of the Humanities Building. Unlocks USPS mail room at start of day in order to allow USPS and Campus Mail staff access to that pickup/drop off space. Is present in shipping area to sign for packages that are not deliverable without a signature; coordinates with various administrators and staff to schedule bespoke pickups and drop-offs. Receives, records, sorts, and delivers, all incoming mail, packages, and parcels. Retrieves, processes, and organizes all outgoing mail. Operates and maintains postage meter to ensure accurate postage and appropriate departmental charges. Prints and adheres shipping labels from carrier’s websites. As necessary, communicates with carrier to track missing or delayed shipments and coordinate specific times for deliveries. Forwards mail to emeritus faculty. Material Management: Maintains inventory of departmental property no longer in use. Relocates property to appropriate short-term storage as needed. Schedules SWAP pickups and dumpsters/recycling drops-offs with appropriate campus entity in coordination with other Humanities Building departments. Arranges for short-term storage and collection by appropriate state agency of surplus chemicals, hazardous materials, and sensitive/confidential documents. General Music Department Duties: Meets daily with Music Operations Manager to determine priorities; checks in with Music Operations Manager throughout the day to share updates, progress. At the start of each day, ensures all departmental classrooms and instructional spaces are unlocked and set for curricular activity. Assists new faculty in loading in personal belongings and equipment and setting up offices and teachings studios. Oversees intra-departmental office moves. Updates departmental mailbox assignments. Monitors inventory and coordinates purchases of School of Music supplies (office paper, toner, cleaning supplies, PPE, etc.) with Department Administrator and Financial Specialist. As needed, provides emergency access to School of Music spaces and General Assignment classrooms. This position reports to the Music Operations Manager. This is an in-person position, remote shifts are not available. The general hours are Monday-Friday 8:30-2:30pm. Off hours may be required for emergencies. This position is part time, 75%.

Requirements

  • Previous experience working in a maintenance position
  • Previous experience working with and repairing equipment
  • Basic understanding of OSHA principles
  • Excellent customer service skills
  • Previous experience working with trades

  • Troubleshoots, escalates, and documents issues according to established policies and procedures.
