About The Position

The Office Coordinator is responsible for keeping day-to-day office operations running smoothly and ensuring a welcoming, organized, and well-maintained experience for employees and visitors. This role supports administrative needs across teams, coordinates office services and vendors, and helps maintain a productive, well-stocked, and efficient workplace. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment, balancing multiple priorities with professionalism and a customer-service mindset. The ideal candidate is also comfortable handling light facilities tasks such as minor repairs, furniture assembly, and general upkeep to keep the office in great shape. Basic computer proficiency is required, including the ability to place supply orders online, communicate via email, and navigate standard office software.

Requirements

  • Strong organizational skills with the ability to manage multiple priorities, follow through, and maintain attention to detail.
  • Professional, service-oriented communication skills (written and verbal) and comfort interacting with employees, visitors, vendors, and building management.
  • Basic computer proficiency required, including the ability to navigate email (Outlook), place supply orders through online platforms, and use Microsoft 365 tools such as Teams, SharePoint, and OneNote (Excel/Word a plus).
  • Hands-on, can-do attitude with the ability to perform light handyperson tasks such as furniture assembly, minor repairs, hanging items, and general office upkeep. Comfortable using basic tools.
  • Ability to handle light facilities coordination (service requests, vendor scheduling, basic troubleshooting) and maintain office inventory and ordering.
  • Reliable, proactive, and adaptable. Comfortable working independently and taking initiative to improve office processes.

Responsibilities

  • Serve as the primary point of contact for day-to-day office needs, ensuring a welcoming, organized, and professional workplace experience for employees and visitors.
  • Coordinate office logistics including mail/shipping, meeting and event setup, conference room scheduling, and general office communications.
  • Manage office supplies, kitchen/restroom inventory, and workplace organization—tracking usage, placing orders online, and maintaining budgets as needed.
  • Partner with vendors and building management to submit service requests, schedule maintenance, and resolve facility issues quickly and effectively.
  • Handle light facilities and handyperson tasks such as minor repairs, furniture assembly, hanging items, and general upkeep to keep the workspace safe, functional, and presentable.
  • Support onboarding and offboarding logistics (badges, workspace setup, equipment coordination, and first-day readiness) in partnership with HR/IT.
  • Assist with administrative tasks such as document preparation, basic reporting, and maintaining shared files and resources (e.g., SharePoint/OneNote); basic computer proficiency required including email, Microsoft Office, and online ordering platforms.
  • Help plan and execute office events and employee engagement activities, coordinating details end-to-end.
  • Identify opportunities to improve office processes and implement simple, scalable systems that increase efficiency and consistency.
