About The Position

We’re looking for an Office & Facilities Manager who is a blend of office manager, building maintenance expert, and appliance troubleshooter. This role is ideal for someone who thrives on organization, even in their personal space, and can handle unexpected challenges with enthusiasm. The position involves managing building security, overseeing various vendors and repairs, maintaining common spaces, handling employee onboarding and offboarding logistics, coordinating company events, managing office supplies, and assisting with shipping and audio-visual needs. Administrative duties include tracking energy reports, processing expense reports, and managing operational and capital expenditure budgets.

Requirements

  • Elite multitasking skills, capable of handling multiple tasks simultaneously (e.g., resetting a room, unclogging a sink, and calming a false alarm before 10 AM).
  • A strong sense of organization.
  • A healthy tolerance for chaos.
  • A sense of humor.
  • Willingness to perform physical tasks such as moving furniture and shoveling snow.
  • Flexibility in schedule to accommodate events, pitches, shoots, and launches, as campaigns may require work outside standard hours.

Responsibilities

  • Open/close the building and respond to security alarms.
  • Manage and coordinate with vendors for HVAC, cleaning, landscaping, and parking garage services.
  • Perform minor repairs for common issues like leaks, squeaks, and wobbly fixtures.
  • Handle snow removal and address storm-related issues such as leaks.
  • Maintain and reset conference rooms between meetings.
  • Manage kitchen supplies and ensure the heating and cooling system is functioning optimally.
  • Set up access and prepare welcome baskets for new employees.
  • Revoke access for departing employees.
  • Coordinate catering for company events and manage logistics for 5-10 external events annually.
  • Ensure adequate stock of coffee, snacks, paper goods, and other office supplies.
  • Manage shipping and mail services (FedEx, UPS, USPS).
  • Assist with audio-visual needs and IT support tasks.
  • Generate energy reports and process expense reports.
  • Manage OPEX/CAPEX budgets.
