About The Position

We are seeking a Facilities Manager to join our team. This role is responsible for the day-to-day oversight of JJE’s Head Office in Innisfil, Ontario. As the Facilities Manager, you will oversee daily operations at JJE’s Head Office and provide project and advisory support to facilities across Canada and the U.S. This role manages maintenance, repairs, upgrades, and capital projects while ensuring strong vendor management, regulatory compliance, workplace safety, and cost control. The Facilities Manager also leads front‑of‑house operations through direct supervision of the Receptionist and works closely with location leaders to maintain safe, efficient, and well‑run workplace environments.

  • College Diploma required
  • Valid ‘G’ class driver’s license with a clean driver’s abstract
  • Must be able to pass a pre-employment background check
  • Demonstrated experience managing multiple facility activities or projects simultaneously
  • Experience administering and managing maintenance programs, with working knowledge of: Ontario Occupational Health and Safety Act; Ontario Building Code; Ministry of the Environment legislation relevant to industrial establishments

Responsibilities

  • Oversee and coordinate building maintenance schedules to ensure timely, cost‑effective repairs
  • Manage and evaluate the performance of cleaning and custodial service providers
  • Review and manage contracts for lawn care, snow removal, and related services on an annual basis
  • Conduct regular facility inspections to identify maintenance needs, repairs, or improvement opportunities
  • Serve as the primary point of contact for emergencies and urgent facility repairs across all company locations
  • Ensure facilities comply with applicable building codes, safety standards, and regulatory requirements (e.g., fire prevention programs)
  • Liaise with building, maintenance, and national/corporate vendors
  • Negotiate service contracts, reconcile invoices, and determine when to go to market
  • Manage the contractor program and ensure all required documentation is current and compliant
  • Identify and implement opportunities for national or group contracts to reduce costs (e.g., custodial services, vending, uniforms)
  • Oversee recycling and waste management programs to support environmental responsibility
  • Identify facility repair, maintenance, and upgrade requirements and develop action plans in partnership with location managers
  • Oversee maintenance and inspection schedules for key systems at the Innisfil location and provide guidance to other sites, including: Cranes, hoists, and bay doors; Oil/water separators; Heating and exhaust systems; CO₂ alarms and automatic exhaust systems; Waste oil removal; Indoor and outdoor lighting; Septic systems
  • Act as lead contact for facility upgrades and renovations, managing budgets and reporting progress to leadership
  • Prepare business case documentation for senior leadership related to facility upgrades and building leases
  • Draft office layout plans for new builds, renovations, and reconfigurations
  • Partner with location managers to address facility‑related safety issues in a timely manner
  • Monitor and respond to employee Facility Request submissions
  • Act as a member of the Joint Health and Safety Committee (JHSC)
  • Manage facility keys, locks, access fobs, and building access approvals
  • Coordinate security alarm access and clearances in partnership with IT
  • Procure office furniture and coordinate office setups and upgrades
  • Ensure workstations and offices are prepared in advance of employees onboarding and offboarding
  • Maintain organized documentation and records for all facility‑related files
  • Track building lease agreements and participate in evaluating alternative lease options
  • Support new facility openings and decommission facilities or work areas no longer in operation
  • Provide direct supervision, guidance, and performance management for the Receptionist
  • Ensure reception coverage, scheduling, and daily front‑office operations are effectively managed
  • Support reception‑related activities involving facilities, access control, visitors, contractors, and internal requests
  • Ensure reception and common areas are clean, functional, and representative of company standards
