About The Position

The Facilities Manager oversees the day-to-day operation, maintenance, and safety of a busy office environment, ensuring that all building systems, services, and vendor relationships run smoothly. This role requires 8–10 years of experience, strong customer service skills, and the ability to lead teams, manage vendors, and respond calmly and professionally when issues arise. The position operates Monday through Friday from 8:00 a.m. to 5:00 p.m. and has the potential to transition into a permanent role.

Requirements

  • 8–10 years of experience in facilities management, property management, or operations, preferably in a leadership role.
  • Strong knowledge of engineering principles related to building systems, complex facilities, and maintenance management.
  • Understanding of construction workflow management and procurement processes.
  • Proficiency with facility management software and Microsoft Office Suite, including core Microsoft applications.
  • Excellent verbal and written communication skills, with the ability to interact effectively with staff, vendors, and building occupants.
  • Strong negotiation and interpersonal skills to manage vendor relationships and internal stakeholders.
  • Solid analytical and problem-solving abilities to diagnose facility issues and implement effective solutions.
  • Proven ability to lead, manage, and develop teams and oversee multiple projects simultaneously.
  • Demonstrated top-tier customer service skills, with the ability to remain calm, professional, and composed under pressure.
  • Ability to manage people effectively in a busy office environment and coordinate with vendors and building engineers.

Nice To Haves

  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, or a related field.
  • Professional certifications such as Certified Facility Manager (CFM) or Facility Management Professional (FMP) are advantageous.
  • Experience managing property maintenance and property management activities.
  • Experience working closely with vendors, building engineers, and service providers.
  • Strong organizational skills and attention to detail in documenting inspections, maintenance activities, and budgets.

Responsibilities

  • Develop and implement a comprehensive facility management program, including preventative maintenance schedules and life-cycle requirements for building systems and equipment.
  • Conduct and document regular facilities inspections to identify maintenance needs, safety issues, and opportunities for improvement.
  • Supervise the maintenance and repair of facilities, equipment, and building systems to ensure reliable and efficient operations.
  • Oversee facility refurbishment and renovation projects, coordinating with internal stakeholders and external contractors to meet quality, budget, and timeline expectations.
  • Lead, manage, and develop facilities staff, providing clear direction, coaching, and support to ensure high performance and strong customer service.
  • Coordinate and manage external contractors, ensuring that work is completed safely, on time, and in accordance with agreed standards.
  • Ensure efficient utilization of facility space and resources, including planning and optimizing office layouts and common areas.
  • Prepare, manage, and track the facility budget, monitor expenditures, and analyze variances to maintain cost control and financial efficiency.
  • Manage central facility services such as reception, security, cleaning, catering, waste disposal, and parking, ensuring consistent and reliable service delivery.
  • Ensure compliance with all applicable health and safety regulations, standards, and company policies.
  • Manage and oversee building safety programs, including safety inspections, emergency preparedness, and staff safety training.
  • Obtain quotes and tenders from vendors and service providers, evaluate proposals, and recommend cost-effective solutions.
  • Manage contractor and service agreements, ensuring that contracts include appropriate terms and conditions and that vendors meet performance expectations.
  • Implement and maintain building security protocols, including access control systems, visitor management, and incident response procedures.
  • Respond promptly to facility and equipment alarms, system failures, and urgent maintenance issues, maintaining a calm, professional, and solution-focused approach.
  • Communicate effectively with employees and building occupants to address facility-related concerns and service requests.
  • Provide timely responses and updates to facility occupants regarding maintenance activities, repairs, and service disruptions.
  • Collaborate with vendors, building engineers, and internal teams to resolve issues quickly when equipment or building systems fail.
  • Demonstrate a strong customer service mindset and a can-do attitude in a busy office environment, ensuring a positive experience for all occupants.
