About The Position

IonQ is seeking a Facilities Coordinator to join their Facilities Team. This role is crucial for supporting IonQ's mission to build the world's best quantum computers. The Facilities Coordinator will be responsible for day-to-day front desk administrative duties and will be part of a cross-functional team. The ideal candidate is a proactive team player with a "no job is too big or too small" attitude, contributing to a fast-paced, high-tech environment.

Requirements

  • 3-5 years of proven experience as a receptionist or in a similar role.
  • Self-motivated with the ability to complete assignments with minimal supervision; must be able to work well both independently and with others.
  • Excellent organizational skills, problem solving skills and ability to efficiently multitask.
  • Attention to detail in maintaining logs, reporting documentation, and data entry.
  • Excellent interpersonal skills including the ability to communicate and collaborate effectively with all levels of personnel, executives, customers and external vendors in a positive manner.
  • Comfortable working in a fast-paced environment, with the ability to prioritize shifting business needs throughout the day.
  • Flexible and able to adapt to changing procedures, systems, and priorities.
  • Proficiency in Google Office, Microsoft Office Suite.

Nice To Haves

  • Associate’s/College degree; BS/BA in Business Administration or relevant field.
  • Experience in customer support.
  • Experience in a High Tech, fast-paced technical office environment.
  • Certified Notary Public in Massachusetts.

Responsibilities

  • Receive visitors at the front desk by greeting, welcoming, directing, ensuring compliance to visitor policies, and announcing them appropriately.
  • Coordinate and facilitate tours for visitors and new hires, including access, badging, and desk assignments.
  • Ensure office environment is tidy and presentable at all times.
  • Receive and prioritize facilities work orders including maintenance, supply, and EHS requests.
  • Provide end-user helpdesk administrative support as required.
  • Receive, sort and distribute daily mail/deliveries.
  • Answer, screen, and forward incoming phone calls and Facilities team emails.
  • Order supplies and keep inventory of stock items.
  • Initiate purchase orders as required.
  • Assist in maintaining office security by following access and safety procedures.
  • Maintain, update, and review facility documents. Point person for general administrative tasks such as mailing, shipping, maintaining office equipment, and errands; lifting heavy boxes, files or paper when needed, which may be up to 40 lbs; and handling time-sensitive/confidential material.
  • Other tasks as required by business needs.
