About The Position

At Optiver, creating a workspace where employees feel safe, comfortable, and cared for is foundational to our culture. The Facilities Coordinator I (FCI) plays a key role in delivering that experience through hands-on support of the physical environment. This position centers around maintaining cleanliness, comfort, and visual appeal throughout our 100,000 square foot high-rise office space in Chicago. The FCI ensures an exceptional workplace experience for 400+ employees by managing soft services, hospitality-focused maintenance, and vendor partnerships.

Requirements

  • High school diploma or equivalent
  • 2 years in facilities, hospitality, or building operations role (corporate setting preferred) with 300+ occupants
  • Strong attention to detail, service-minded approach, and a sense of pride in presentation
  • Proficiency with Microsoft Outlook and confidence with Microsoft Suite required (specifically Excel)
  • Excellent communication skills with a calm, can-do demeanor
  • Legal authorization to work in the U.S. is required; we will not sponsor individuals for employment authorization for this job opening

Nice To Haves

  • Familiarity with janitorial, pest, or interior services a plus
  • Familiarity with Atlassian products (Confluence, Jira) and other ticketing systems (Angus, Workspeed) preferred

Responsibilities

  • Maintain the appearance, cleanliness, and comfort of shared spaces, furniture, and finishes throughout the office
  • Oversee janitorial, pest control, interiorscaping, and similar vendor services; ensure high standards and alignment with KPIs are upheld
  • Conduct regular walkthroughs of restrooms, restaurant, and high-traffic areas to ensure cleanliness and stock
  • Troubleshoot issues with office furniture and fixtures (chairs, lighting, conference room furniture); coordinate repairs and maintenance
  • Respond promptly to employee requests and service tickets related to comfort, environment, and aesthetics
  • Use Atlassian Jira and Confluence to track task completion, issues, and opportunities for improvement
  • Assist with day-to-day operational needs of the Office Operations team, including reception and event setup support
  • Maintain organized stock of janitorial and hospitality supplies
  • Provide vendor escorts and ensure adherence to security policies
