About The Position

As a Facilities Coordinator at JLL, you'll be an essential part of our Workplace Experience team, ensuring our clients' environments run seamlessly every day. In this hands-on role, you'll oversee workplace operations and coordinate maintenance activities, manage vendor relationships, and deliver the kind of proactive service that keeps workplaces thriving. Requirements

  • Prior experience in facilities management, property management, hospitality, or related fields
  • Ability to lift up to 50 lbs and move furniture as needed for daily operations
  • Proficiency with information technology tools and workplace management platforms
  • Advanced proficiency in Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Teams
  • Ability to manage multiple email accounts, calendars, and competing priorities in a fast-paced environment
  • Experience using multiple communication and collaboration platforms, including Microsoft Teams and Slack
  • Excellent communication and organizational skills with strong problem-solving abilities
  • Ability to work independently with minimal supervision while effectively managing stressful situations
  • Self-motivated, confident, energetic, and adaptable to changing workplace needs

Nice To Haves

  • Knowledge of local occupational health and safety requirements and regulations
  • Experience with vendor management for specialized facilities services
  • Understanding of critical facilities systems including HVAC, chiller systems, fire protection, and mechanical/electrical infrastructure
  • Familiarity with workplace experience best practices and service excellence standards

Responsibilities

  • Conduct daily walkthroughs to ensure facilities are clean, organized, and operating smoothly, identifying opportunities for continuous improvement
  • Respond promptly to work orders while maintaining KPI compliance and delivering excellent customer service at every touchpoint
  • Schedule and manage repairs, maintenance requests, and minor works projects, tracking each task through to completion with minimal disruption
  • Coordinate with vendors, facilities staff, and service providers to ensure excellent execution of work and seamless operations
  • Support furniture moves, cube reconfigurations, and general space adjustments as workplace needs evolve
  • Provide coordination and logistical support for events, meetings, and conference facilities to create exceptional workplace experiences
  • Maintain accurate records and documentation for your site, including web pages, emergency response plans, and building access systems
  • Assist with reception and guest support, mail services, office supplies management, and landlord relations as needed
  • Uphold environmental health and safety standards, including evacuation procedures and after-hours emergency response protocols
